Procurement Staff – Qualification & Job Description

1. Qualifications:

· Education: Bachelor’s degree in Business Administration, Supply Chain Management, Procurement, Finance, or a related field.

· Experience: 1-3 years of experience in procurement, purchasing, or supply chain roles (entry-level) / 3-5+ years for senior roles.

· Language Skills: Must be fluent in English.

· Skills:

  • Strong negotiation and vendor management skills.
  • Knowledge of procurement processes and supply chain best practices.
  • Strong analytical and problem-solving abilities.
  • Excellent communication and interpersonal skills.
  • Attention to detail and organizational skills.
  • Understanding of contract management and compliance.
  • Understanding of Export and Import procedures.

2. Job Description:

Position: Procurement Officer / Procurement Specialist

Reports To: Procurement Manager / Supply Chain Manager

Key Responsibilities:

  • Identify and evaluate potential suppliers based on price, quality, and reliability.
  • Build and maintain strong relationships with vendors.
  • Conduct market research to identify new suppliers and cost-saving opportunities.

3. Purchasing & Procurement:

  • Prepare and process purchase orders in line with company policies.
  • Negotiate contracts, terms, and pricing to ensure cost efficiency.
  • Ensure timely procurement of goods and services to avoid disruptions.

4. Inventory & Logistics Coordination:

  • Collaborate with warehouse and logistics teams to ensure proper stock levels.
  • Monitor delivery schedules and resolve supply chain issues.
  • Track and report on inventory usage and procurement trends.

5. Compliance & Documentation:

  • Ensure procurement activities align with company policies and regulations.
  • Maintain accurate records of purchases, supplier agreements, and pricing.
  • Ensure all documentation, including invoices and contracts, is properly filed.

6. Cost Management & Reporting:

  • Analyze procurement costs and suggest cost-reduction strategies.
  • Provide reports on procurement activities, supplier performance, and savings.
  • Assist in budgeting and forecasting procurement expenditures.
