The Operations Community’s core responsibilities are to deliver our insurance and health services at scale: we build our platform and operational capabilities and run our processes to guarantee delight and efficiency.

As we anchor our Insurance position, diversify our offering with health and well-being related services in 4 countries (France, Belgium, Spain, and Canada), our operations are increasingly complex and exciting!

Joining Operations at Alan means being part of 50+ talented, committed, and passionate Ops team members across countries, with many interactions with Engineering, Product, Care, and other teams.

We have a mix of Builder profiles, focused on (re)designing and implementing processes, and Operations Coordinators who execute and improve these daily.

We seek team members capable of delivering excellence and ready to disrupt traditional views on insurance or healthcare services.

For this role, you need to be based in France, Belgium, or Spain.

The Operations Coordinator works on specific services (e.g., claims, fraud, clinics). Core responsibilities (~70-80%) include:

  • Run our insurance or health services processes
  • Ensure daily follow-up and monitoring
  • Flag risks and opportunities

In detail, your missions include:

  • Operating our processes: invoicing, claims treatment, managing provider networks, supporting internal teams
  • Contributing to monitoring schemes: tracking volumes, efficiency, SLAs, identifying risks and improvements
  • Supervising partnerships: teleconsultation, claim operators, negotiations, daily communication
  • Performing controls: quality checks, training needs identification
  • Providing feedback and supporting initiatives to improve processes and services

Additionally, about 20-30% of your time is dedicated to continuous process improvements, such as automation, external communication enhancements, auditing, etc.

Our organization structure

Operations are organized in pools (3-7 runners) responsible for specific scopes like therapy, claims, fraud, setup.

Examples include:

  • Alan therapy: managing psychologist bookings, relationships, lifecycle steps
  • Claims: handling claims, monitoring external provider performance, ensuring timely delivery and member satisfaction
  • Fraud: investigating suspicious claims, preventing and recovering fraudulent payments
  • Set up: onboarding employees, invoicing, billing, ensuring smooth admin processes

Note: we value adaptability; team members may join different pools over time based on needs and interests.

Experience required

We target candidates at A2-B level, with diverse backgrounds such as:

  • Process and service operations, especially in scale-up or industrial/logistics sectors
  • Support functions (Customer Support, People Operations)
  • Customer-facing roles (Account Manager, Customer Success, Communications)
  • Event coordination

Skills needed

  • Passionate about delivering and optimizing operations
  • Problem-solving and challenger mindset, driven by member and customer satisfaction
  • Highly organized with excellent follow-up and attention to detail
  • Strong communication skills in English and French (C1+), high empathy
  • Ability to work independently in a fast environment
  • Adaptability
  • Bonus: experience in insurance or healthcare industry, analytics skills
