Le candidat idéal aura 2 à 5 ans d'expérience en assistance exécutive, avec des compétences organisationnelles solides et une maîtrise professionnelle du français et de l'anglais.

Qualifications

  • 2-5 ans d'expérience en assistance exécutive ou coordination administrative.
  • Capacité proactive en gestion de calendrier.
  • Adaptabilité et orientation service client.

Responsabilités

  • Gérer les processus et la communication avec les départements.
  • Superviser la planification de la main-d'œuvre et les délais de projet.
  • Assister les nouveaux membres de l'équipe et superviser l'intégration.

Your Role as Division Coordinator

Provide executive support to senior management, ensuring efficient operations across corporate functions while maintaining key processes and systems. Work in a dynamic environment where your organizational skills will support the leadership in delivering incredible events.

Your Responsibilities
Process Management & Reporting
  • Implement and monitor departmental processes
  • Coordinate communication with HR, IT, Legal, Logistics, and PMO
  • Generate reports on activities, resources, and projects
  • Oversee workforce planning and project timelines
  • Monitor forecasting tools and resource issues
Internal Systems & Tools Management
  • Manage internal tools like People Allocation and Cruise
  • Maintain up-to-date staff and project information
  • Support SharePoint spaces and home office policies
Staff Support & Onboarding
  • Assist new team members and oversee onboarding
  • Ensure access to necessary tools and information
Executive Support & Calendar Management
  • Coordinate communication between senior management and the organization
  • Manage calendars and prepare for meetings and seminars
  • Track and document department meetings and action points
Ideal Candidate Profile

If you have:

  • 2-5 years of experience in executive assistance or administrative coordination
  • Strong organizational and reporting skills
  • Proactive calendar management ability
  • Customer service orientation and adaptability
