JOB DESCRIPTION / PURPOSE:

Responsible for the overall operations and maintenance of the assigned facility, ensuring excellent customer service to building occupiers at all times whilst ensuring full compliance with local and national Environmental, Health & Safety legislation.

ESSENTIAL DUTIES:
  • Office Management
  • Raise, approve invoices, and chase payments
  • Lease contract support
  • Document, file, and manage contracts
  • Manage receptionist and cover as needed
  • Remote management and support for other client locations within the EMEA region
  • Administrative Tasks
  • Manage room bookings and meeting support
  • Create, maintain, and manage staff ID Cards
  • Support clients with parking
  • Sort, organise mail (including for locations in France)
  • Manage shipping and coordinate fleet management
  • Support with laptops and telephones, including collection of old laptops
  • Assist with other tasks delegated by the Facilities Coordinator
Skills, Education and Experience:
  • Previous office experience
  • Fluent in written and verbal English and French
  • Excellent communication, written, and organisational skills
  • Strong ability to handle multiple tasks
  • Ability to act competently in crisis situations while maintaining a calm and professional manner
  • Cooperative attitude to ensure smooth and effective office operations
