RINA is currently recruiting for a Green Energy Project Support Business Advisor to join its office in Paris within the Energy Business Integration and Project Coordination Division.

Mission

The Green Energy Project Support Business Advisor will play an essential role in ensuring the smooth administrative and business operations of the company. This role requires a proactive individual with strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Accountabilities

  • Ensure effective administrative and logistical management of the office.
  • Manage incoming and outgoing mail and correspondence.
  • Organize and coordinate institutional events in collaboration with the communication department.
  • Create, format, and monitor essential office automation documents.
  • Oversee logistical arrangements for travel, meetings, and reservations.
  • Manage general services, including purchasing, negotiation, and vendor monitoring.
  • Handle purchase orders and supplier contracts.
  • Support Human Resources processes, including leave management and compliance.
  • Assist in accounting processes, including tracking financial commitments and invoicing.
  • Contribute to both internal and external communication initiatives.
  • Accurately input data into our systems, including new opportunities, projects, and quotations.
  • Liaise with suppliers and the Procurement team to ensure correct invoice recording.
  • Assist the team in the monthly financial closure process and the preparation of management reports.
  • Monitor timesheets and ensure adherence to month-end deadlines.
  • Support invoicing activities and project financial analysis.
  • Participate in project controlling activities, ensuring accuracy in project data and reporting.
  • Work closely with Project Managers to review project progress and ensure delivery within performance, cost, and time constraints.
  • Provide support in responding to internal and external inquiries and assist with ad hoc administrative tasks related to business operations.

What are we looking for

  • Bachelor's degree in Business Administration, Finance, Management, or a related field preferred.
  • Experience in an administrative or business support role, preferably within a green energy or corporate environment.
  • Experience in project support, scheduling roles, or similar, with knowledge of process-driven ways of working.
  • Fluency in English is mandatory.
  • Proficiency in Microsoft Office Suite and experience with Microsoft Dynamics or similar ERP systems.
  • Strong IT skills in using MS Office applications (Excel - pivot tables, VLOOKUPs, Outlook, PowerPoint, and Word) is essential.
  • Experienced user of databases, familiarity with MS Dynamics, SAP, or similar applications is highly advantageous.
  • Strong organizational and multitasking skills with high attention to detail.
  • Excellent communication and interpersonal skills.
  • Strong numerical skills.
  • Commercial awareness and experience working within a consultancy or engineering company is desirable.
  • Interest in working within a fast-moving project-based environment with a practical and functional approach to work.
  • Ability to work independently and collaboratively in a dynamic environment.
  • Problem-solving mindset and a proactive approach to work.
