The Deputy Residence Manager plays a pivotal role in the successful delivery of approximately 500 high-level events annually at the Ambassador’s Residence, welcoming over 18,000 guests. Reporting to the Residence Manager and working in close coordination with the Public Diplomacy team and the Private Office, the Deputy is responsible for overseeing the planning and execution of all Residence events. This includes official functions hosted by the Ambassador, Embassy-wide engagements, and externally sponsored events that promote British interests. The role also includes line management of the Residence Events Officer, ensuring that all events are delivered with precision, professionalism, and in alignment with the UK’s diplomatic objectives.

Key responsibilities :

Event Coordination & Delivery :

  • Manage all aspects of the Ambassador’s official entertainment :
  • Compile and centralise guest lists
  • Draft and issue invitations via email and phone
  • Track RSVPs and prepare guest lists for security
  • Create table plans and print menus
  • Attend events as required
  • Draft event briefings for the Ambassador when necessary
  • Oversee externally sponsored events : Liaising with organisers to ensure timely planning and compliance with Residence protocolsEnsuring contracts and insurance documents are filedConfirming catering numbers and costs in a timely fashionBrief the Ambassador and spouse as needed
  • Support the Ambassador’s spouse with official engagements and respond to general protocol enquiries

Contact & Guest List Management :

  • Collaborate with the Ambassador’s Private Secretary to : Maintain and update contact lists on MS TeamsCreate guest lists and monitor responsesEnsure accuracy of all contact data
  • Internal Communication & Coordination :

  • Maintain a comprehensive record of upcoming events on the Residence MS Teams channel
  • Communicate evolving event details (e.g. guest numbers, format, logistics, dietary needs)
  • Produce event briefs for complex or high-profile events
  • Coordinate with the security team for events exceeding 50 guests
  • Ensure the Events and Residence MS Teams channel is up to date with : Templates, guidelines, pricing, organograms, and bidding formsManage the Residence calendar and ensure alignment with the Ambassador and DHM’s schedules
  • Event Planning & Oversight :

  • Lead the Events Committee process : In collaboration with the Events' officer, request and compile event bidsCommunicate decisions and follow-up with lead officersCoordinate event logistics with Embassy teams and share best practicesOversee the rolling programme of house tours delivered by the Events Officer
  • Team Leadership :

  • Line-manage the Residence Events Officer : provide guidance, build capacity, and support professional development
  • Financial & Administrative Support :

  • Assist the Residence Manager with : Event reconciliation, including invoice payments and monthly journalsIssue invoices for PAG and income-generating events in collaboration with the accounts team
  • Provide cover for the Residence Manager as needed and support during official Ministerial and Royal visits.

    Essential qualifications, skills and experience

    Essential on arrival :

  • Full professional proficiency in English and French (written and spoken, minimum of C1 level for CEFR framework
  • Minimum 3 years’ experience in events management, ideally in a high-profile or diplomatic setting.
  • Exceptional organisational and time management skills, with the ability to manage multiple priorities under pressure.
  • Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, SharePoint, and Microsoft Teams.
  • High level of discretion, integrity, and professionalism, particularly when handling sensitive information and high-level guests.
  • Strong interpersonal and teamwork skills, with the ability to work effectively and supportively with colleagues across departments.
  • Flexibility and commitment to working non-standard hours, including regular evenings, some early mornings, and occasional weekends in support of Residence events.

    This is a full-time, permanent position, of 35 working hours per week.
