As part of CESAME's activities (Central Software Asset Management) for the AXA Group, the Contract Manager, responsible for several contracts, is accountable for the contract and serves as the referent for all contractual aspects. He/she must drive the following activities in coordination with the License Manager and the Chargeback Manager, as well as Procurement, Legal, Finance, and Product Owner teams:

1. Identify all elements of the contract to enforce our engagements and implement an efficient standard process, including contractual obligations, evolution, vendor governance, and financial risks (especially regarding compliance).
2. Anticipate legal and compliance risks.
3. Understand all contract mechanisms (financial, legal, licensing) to maximize value for the Group.
4. Supervise all CESAME activities related to the contract in relation with stakeholders (Group Procurement, AXA entities, product owners, finance teams, support in India, etc.).
5. Follow up and communicate key elements of the contract lifecycle with AXA entities, especially those impacting vendor relationships and client usage.
6. Work with Product Owners and Account Managers to promote contracts under their responsibility.
7. Manage specific governance or contribute to procurement governance with vendors and address pending issues.
8. Support procurement in preparing scope for renewals and negotiations of new deals.

Domains of Responsibility

The Contract Manager manages the contract lifecycle, which includes:

1. Contract:

• Map all related documents (MLA, ULA, Appendix, etc.), document, and maintain them.
• Identify & analyze financial and legal risks, set up mitigation plans with Finance and Legal teams, and follow up.
• Complete contract prerequisites (install inventory tools, user registrations, full capacity virtualization, hard capping, etc.).
• Manage time-driven commitments (reports, renewals, disclosures) with team support.
• Drive initiatives to optimize costs and maximize contract value, recommending legal and financial improvements to Procurement.
• Manage scope variations (expansions/divestitures) and services/products/entities.

Inventory and Compliance Management:

• Implement a strategy to inventory products leveraging existing tools and Flexera, liaising with CTO and CIO as needed.
• Anticipate non-compliance risks with License Manager, calculate financial exposure, and follow up on mitigation plans.

Address Audit Requests Proactively.

Governance:

• Clarify roles and responsibilities of stakeholders for contract management.
• Establish and lead global governance with vendors in partnership with Procurement.
• Support and provide strategic guidance during contract negotiations and evolution.
• Lead the CESAME community, share vendor and contract information, and ensure License Manager contributions.
• Be the escalation point for operational issues at the local level.

Accountable for all activities related to the contract, managing License and Chargeback Managers' activities within scope.

Maintain all contract documents, templates, obligation and risk assessments, stakeholder management matrices, governance reports, financial data, and compliance status.

Track records of savings and cost avoidance.

Skills and Knowledge Requirements

• Software Asset Management, contract management skills, legal and financial awareness.
• Knowledge of major vendors (Oracle, IBM, VMware), SaaS vendors (Salesforce, Genesys, Adobe), and cloud providers (Microsoft Azure, AWS).
