Une entreprise dynamique recherche un Administrateur des Ventes pour soutenir son équipe commerciale. We’re looking for a Sales Administrator to join our team in Rungis, France on a 6 month fixed term contract basis.

As Sales Administrator at Westfalia Fruit you will be a key player in supporting our Commercial team to grow and manage key retail accounts. You’ll be responsible for helping the wider team to achieve ambitious sales targets by providing exceptional administrative support.

Responsibilities include:

  1. Maintain and update our internal systems, ensuring that information and data held is accurate and up to date.
  2. Keep thorough records of all transactions, ensuring easy access for audits and reporting purposes.
  3. Support with the timely processing of invoices and handling approvals as needed.
  4. Calculate and schedule payments for advances and balances in line with supplier contract terms.
  5. Follow up with buyers on unresolved payment issues to prevent delays.
  6. Maintain accurate records of supplier terms, claims, and any special payment conditions to facilitate smooth transactions.
  7. Collaborate closely with procurement teams to support purchasing processes.
  8. Track and update supplier communications, ensuring alignment on payment schedules, seasonal adjustments, and outstanding queries.
  9. Oversee shipping documentation procedures, staying informed of any regulatory or procedural changes and support with import/export documentation requirements for the EU & UK.
  10. Collaborate with overseas agents to ensure all documentation is complete for customs obligations.

Requirements

Experience we look for:

  1. Previous experience of working in a commercial organisation, either within sales or administration.
  2. Fluent in French and English (native / C1-C2) languages.
  3. Ability to convey information clearly and resolve issues in a timely and professional manner.
  4. Excellent collaboration skills with external and internal teams to resolve issues and ensure timely resolutions.
  5. Willingness to be based in our Rungis office on a full-time basis (we do not currently offer hybrid working).
  6. Fluency in an additional European language is highly beneficial (Spanish, Italian, German, Dutch).
  7. Experience in the food industry or fresh produce would be advantageous but not essential.
  8. Introductory conversations for this role will take place in English. Follow up conversations will be in French.
