Ce rôle dynamique exige une personne capable de jongler avec plusieurs tâches tout en fournissant un soutien stratégique à la direction. Vous serez responsable de la gestion des communications, de la planification d'événements et de l'administration des finances, tout en maintenant des relations solides avec les partenaires externes. SR Investment Partners is looking for an experienced Personal Assistant / Operational Manager to join their team. We are a start-up business in Financial Services and politics; this person must be able to hit the ground running. This person must be able to speak French and English.

They are looking for someone who has previous experience working in a fast-paced role in financial services / politics and works to help the CEOs by being one step ahead. This role requires someone confident, reliable, and not afraid to express their opinions to senior leadership if they have information that will help improve processes and procedures. What also is required is office management, i.e. reports, compliance, any other technical initiative, and marketing. This is for someone who can work with a startup mentality and be the face of our firm. This person will also be part of negotiation with other external partners and create ideas and accountancy.

The ideal candidate will be responsible for a range of activities that will assist this organization's leadership. In this position, you should feel comfortable coordinating calendar appointments, managing communications, and planning events, as necessary.

Responsibilities
  • Coordinate and schedule calendar appointments
  • Manage all incoming and outgoing communications
  • Must be able to understand French law and culture
  • Must have experience in technical aspects of different databases, CRMs, Notion, Salesforce, accountancy
  • Schedule travel and plan events
  • Extensive diary management and Microsoft suite
  • Work with PR and external partners and marketing
  • Develop strong working relationships with key internal and external stakeholders
  • Event Management for Board dinners, external lunches, away days, and regular in-house meetings
  • Administration of expenses, to ensure all expenditures were authorized appropriately
  • Strong time management skills to maximize the use of the CEO’s time effectively
  • Governance to ensure all Board and Committee dates were planned in advance for the image of the company
  • Liaison with marketing, governmental bodies and represent acting as the first point of contact for the CEOs including greeting VIP guests
  • This person must be able to communicate in French and write in high-level French and English; other languages will be a bonus
  • Managing the CEO diaries and calendars, speaking with external stakeholders and responding
  • Helping with documents, analysis, and coordination
  • Reviewing legal contracts
  • Liaison with international & external clients accounts due diligence
  • Understanding of French regulations
  • Coordinating numerous high-profile meetings
  • Coordinating high volumes of conference calls and management of all travel arrangements
  • Dealing with external legal information/documentation that will support the business
  • Weekly planning through the database and company CRM system and update research
  • Setting up conferences and being client-facing
  • Organizing flights and hotels and any travel personal matters
  • Managing time zones - EU, London, USA, and Asia
  • Producing presentation materials and agendas
  • Research and analysis of overall office management
  • Manage compliance calendars and internal & external ordering stock
  • Be an expert on the firm internal CRM
  • Liaising with internal or external customers, suppliers, and clients
  • Personal itinerary for the CEO
Personal Assistance

  • Email management: answering, step by step

  • Manage CRM & data management logistics: book hotels, trains, restaurants, ask for discounted rates/negotiation, etc.
  • Cover sheet: For example, when a CV is received, put the information in the same template family arrangements
Administrative Assistance
  • Arrange payments to external service providers: gather/update, prepare list for validation, payment
  • Payrolls: help manage Payfit, preparation for validation, and then payment from Qonto or else
  • Client invoicing: prepare the list for validation, establish invoices internationally
  • Expenses report of the CEO: validation in JenJ and payment from Qonto
  • Regular recording and updating of business finance excel sheets/balance sheets
  • Connect with the company accountants for relevant matters, also lawyers if needed
  • Assistance on legal administration: link with complementary health insurance
  • Drafting of prospects/clients contracts and amendment contracts (from a template with instructions from CEO)
  • Drafting of subcontractors' and employees' contracts and amendments (from a template with instructions from CEO)
  • Keep a library of templates, contracts, and all relevant documents
  • Keep the administrative files clean and organized
  • Presentation proofreading/presentation skills (spelling, look, formats)
