Job Description:

MSF (Médecins Sans Frontières) is an international medical humanitarian organization providing medical assistance to populations facing crises and threats to their survival, operating in about thirty countries.

MSF has opened the Centre Jacques Pinel (CJP) in Bordeaux-Mérignac, dedicated to sharing experiences and developing humanitarian practices and technical systems.

This center provides quality training to MSF teams deployed in operational fields to improve humanitarian assistance to populations whose lives or health are at risk.

Located within MSF Logistics, a non-profit organization responsible for procurement and supply chain management for MSF, it fosters synergies among different operational support functions and R&D activities in humanitarian logistics.

We are seeking a Facilities and Educational Materials Coordinator (H/F) for a replacement position at CJP.

Mission

The Facilities and Educational Materials Coordinator at CJP manages pedagogical materials (stock management), first-level IT support (AV equipment, computers, office tools), and oversees the management of furniture and property at CJP.

Reporting hierarchically to the CJP Manager and functionally to the Technical Coordinator:

Main Activities:
  1. Manage pedagogical materials:
    • Manage equipment inventory, spare parts, and consumables using stock tracking tools (inventory, ordering, stock management, maintenance)
    • Prepare materials for each training session following procedures, including those for loaned equipment from MSF Logistics
    • Coordinate supply chain and equipment renewal with suppliers based on trainer needs
    • Manage and track all related materials, consumables, and products, complying with regulations (e.g., hazardous materials storage)
    • Manage the vehicle fleet dedicated to the Center
    • Conduct semi-annual inventories of all materials at CJP
    • Propose improvements to technical reference teams for stock renewal, optimization, and standardization
  2. Manage CJP installations:
    • Perform preventive and corrective maintenance in collaboration with MSF Logistics
    • Conduct technical rounds to detect issues
    • Perform necessary repairs, plan and supervise outsourced repairs
    • Manage maintenance contracts for installations and equipment
    • Participate in updating maintenance plans and multi-year work planning
    • Ensure safety equipment functions properly
    • Gather user requests and organize intervention logistics
    • Coordinate service activities (waste management, fire safety, intrusion systems, access control)
    • Suggest layout and facility improvements
  3. Support IT and AV systems:
    • Ensure proper functioning of AV, IT, and reprography equipment used in training
    • Provide tailored IT support to users
    • Coordinate support with MSF LOG and MSF Association IT services
  4. Participate in site activities:
    • Encourage interaction among all site actors and users
    • Contribute to group integration and organize informal events
    • Ensure communication and safety instructions between night and day teams
    • Assist in welcoming and briefing visitors/students on safety protocols
    • Prepare meeting and technical rooms as needed
    • Assist in budget monitoring and procurement optimization
    • Train in safety and fire prevention to respond to incidents
Professional Skills

Education: Minimum Bac or equivalent

Experience:

  • Over 2 years in general services or operational logistics, ideally in humanitarian missions
  • MSF experience is a plus

Skills:

  • Technical skills in HVAC, electrical, plumbing, and stock management
  • Proficiency in IT and AV tools
  • Valid B driving license; CACES/Nacelle and electrical certification preferred
  • Knowledge of logistics equipment and systems (energy, WASH, radio, mechanical, biomedical, cold chain) is advantageous
