As a Business Assistant in our bustling Banking team, you will find that your day is a blend of dynamic tasks and meaningful interactions. From coordinating meetings and managing schedules to preparing essential documents and facilitating communication among team members, your role is pivotal in ensuring the smooth operation of our team. Your organizational skills and proactive approach help streamline processes, allowing our bankers to focus on delivering best-in-class results.
This is a temporary position for a duration of 6 months.
Job responsibilities
- Advanced, proactive diary management, facilitating swift setup of client meetings in-person or over video (Zoom / TEAMS) internally and externally, and preparing all logistics for client meetings (taxi and room bookings, printings).
- Managing a high volume of emails professionally and efficiently.
- Handling clients with a high level of confidentiality internally and externally.
- Sharing phone coverage for a busy group, involving significant interaction with clients and senior members of the firm.
- Coordinating complex travel arrangements, including flights, check-ins, VISAs, accommodation, and transportation, in line with Corporate Policy, and handling last-minute changes.
- Processing expenses, reimbursements, and personal amounts owing.
- Managing internal systems and trainings, and being aware of Corporate Policy (Cross-border, Compliance, Security travels, expenses).
- Partnering with marketing teams for client events (calendar alignment, nomination process, invitations, follow-ups).
- Becoming an integral part of the business, understanding group priorities and Banker expectations.
- Partnering with assistants across the Banking group locally and internationally to provide coverage during absences.

- Professional client handling and relationship-building skills with all clients and cover groups.
- Strong interpersonal, written, and oral communication skills.
- Full competency in diary management, good judgment, and an understanding of competing priorities; solution-oriented.
- High attention to detail and ability to deliver high-quality results.
- Advanced organizational skills, ability to meet deadlines, demonstrate proactivity and ownership, and maintain a positive, constructive attitude to support senior management schedules and time management.
- Polished, professional approach, calm and composed manner, ability to work under pressure, team player, and potential role model.
- Proficiency in Microsoft Office.
- Fluent in English.

- Fluent in French.
- Understanding of the culture of Investment Banking and the Corporate Bank.
