- Organise missions for team staff members consultants and experts which includes travel arrangements visa applications processing expenses claim and follow up on mission reports.
- Prepare intellectual service contracts (SRM) and follow up actions such as payments.
- Send out emails to relevant bodies and ensure that contact lists are up to date.
- Establish and maintain excellent relations with colleagues support services and persons outside the Organisation at all levels.
- Introduce new staff to corporate tools (e.g. ONE Author) and good practices.
- Support the Centre for Skills in other tasks as required.
- Keep abreast of activities of the other teams in the Centre and the front office (SKC DO) to provide support where needed.
Documents and publication
- Assist in preparing documents reports and publications in ONE Author in both OECD official languages in accordance with OECD standards and rules including formatting editing and proofreading (or copyediting) of documents.
- Submit documents on ONE Members & Partners and administer the ONE Community when relevant.
- Liaise with the appropriate services for document translations and publications reproduction and publications reproduction and distribution.
Management of meetings and events
- Contribute to the overall planning of activities and the efficient running of the Skills Analysis and the Vocational Education and training teams.
- Oversee and assist in the organisation of meetings and events (online in-person or hybrid) including where relevant coordination with local event organisers; meeting room reservation setting up video conferencing catering arrangements preparation of relevant meeting documents and maintenance of participants lists invitations minutes and other support before during and after meetings and events. Liaise closely with all stakeholders to ensure smooth communication on all logistical aspects of meetings.

Ideal Candidate Profile
Academic Background
- At least a secondary level of education preferably with office management administrative or language studies.
Professional Background
- Administrative and organisational experience in an international environment including preparation of documents and publications and organisation of in-person online and hybrid meetings and events as well as procurement and travel management.
- Experience in project coordination would be an advantage.
Tools
- Excellent knowledge and experience in the use of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn the standard range of software packages used in the Organisation e.g. ONE author OECD.Graph ONE Members & Partners ONE communities ONE secretariat SAP Missions Concur Event Management System Conference Reservation Management System SRM SRP and tools for video conferencing and event management such as Zoom, Teams, Webex and / or Skype.

What the OECD offers
Depending on level of experience the full-time monthly salary for temporary staff starts at 2660. This salary may be subject to French income tax depending on the selected candidates situation.

Selection Process
For retained candidates written tests / video-recorded interviews are foreseen end-April and panel interviews are planned for mid-May.
