Job Summary:

The Admin – Assistant Manager Europe is responsible for supporting the management of the company's car leasing program, ensuring the efficient operation of leased vehicles across Europe. This includes coordinating the selection, acquisition, maintenance, and disposal of leased vehicles, managing leasing contracts, and ensuring compliance with regulations. The role also involves managing corporate cell phones, hotel bookings, and general administrative logistics throughout Europe.

Key Responsibilities:

1. Employee Car Lease Management

  • Coordinate the end-to-end process of company-provided car lease programs across European countries.
  • Manage new lease contracts in compliance with local regulations and company policies.
  • Liaise with lease vendors and employees for onboarding, renewals, and terminations.
  • Handle insurance management, including renewals and claims/disputes with lease vendors.
  • Maintain accurate lease data, budgets, and reports for internal tracking and audits.
  • Support in identifying, onboarding, and managing relationships with external vendors and service providers.
  • Support in negotiating contracts and service-level agreements, ensuring vendor compliance.
  • Monitor vendor performance and coordinate reviews, reporting KPIs to the department head.

2. Company Cell Phone Management

  • Coordinate procurement and distribution of cell phones.
  • Manage SIM card distribution, activation, and replacements.
  • Support contract management with telecom providers to optimize costs and services.
  • Assist employees with queries and troubleshooting.

3. Hotel and Travel Logistics

  • Plan and coordinate hotel accommodations and meeting/event logistics across Europe.
  • Manage vendor relationships for hospitality services.
  • Coordinate with Finance for invoice processing, payment schedules, and record maintenance.

4. Employee Support & Communication

  • Serve as a point of contact for employee queries related to administrative services.
  • Communicate clearly and promptly regarding lease, phone, and travel processes.
  • Resolve employee issues professionally and effectively.

5. Administrative Logistics

  • Support daily administrative tasks for European offices.
  • Help implement standardized administrative processes across countries.

Requirements:

  • Bachelor’s degree in Business Administration, Operations, or related field.
  • 4+ years of experience in administrative or operational roles, preferably in a multinational environment.
  • Strong knowledge of European vendor and regulatory environments.
  • Excellent communication skills in English; additional European languages are a plus.
  • Proficiency in MS Office and administrative tools (e.g., SAP, Concur).
  • Strong organizational and multitasking skills.
  • Problem-solving mindset and attention to detail.

Skills:

  • Analytical skills for fleet performance and cost management.
  • Effective communication with employees, departments, leasing companies, and service providers. Knowledge of German, French, and Italian is preferred; multiple European languages are an advantage.
  • Proficiency in Microsoft Office and fleet management software.
