Grade(s) sought: Administrative Assistant, Principal Assistant of 2nd class, Principal Assistant of 1st class

Open to contractual workers. The position is primarily to be filled via statutory means. It is possible to recruit someone who is not a public service exam laureate, as one of the grades is an entry-level Category C grade allowing direct recruitment without an exam.

Work hours: Full-time

Job Description

Under the direct supervision of the General Director of Services, the assistant ensures the administrative follow-up of files handled or entrusted by the Director and manages their schedule.

Responsibilities and Conditions
  1. Missions
  2. Implement and monitor interdepartmental cooperation and transversal work organization, acting as an interface between the General Directorate, municipal services, and external institutions.
  3. Manage the schedule.
  4. Carry out any transversal mission expressly delegated by the DGS.
  5. Manage the signing of correspondence submitted for signature by elected officials and the Mayor before the DGS's approval, verifying transmission procedures and proper document presentation.
  6. Draft letters and notes (notably for services).
  7. Organize meetings, trips, and draft minutes.
  8. Participate in the development, presentation, and animation of tracking tables for files across services or departments.
  9. Research information and documents for preparing files.
  10. Classify and update administrative files.
  11. Manage electronic documents.
  12. Verify transmission procedures and proper presentation of documents in the parapheurs submitted to elected officials and the Mayor for prior approval by the DGS.
  13. Transmit regulatory acts for legality control via dematerialization.
  14. Maintain registers of orders and deliberations.
  15. Assist in handling contentious files.
Municipal Council
  • Prepare Municipal Council meetings (preliminary notes, invitation letters to elected officials and press, press releases, postings).
  • Assemble Municipal Council files.
  • Participate in Council sessions.
  • Develop PowerPoint presentations.
