Job Description: Warehouse / Logistics Assistant

The Warehouse / Logistics Assistant coordinates and executes assigned warehouse and logistics activities, ensuring operational management of logistical providers and internal staff (e.g., warehouse staff, drivers) in accordance with specifications, orders, and safety policies. The role aims to ensure safe, efficient, and effective storage and flow of materials and equipment, supporting the operational companies (OpCos) in achieving their objectives.

This position primarily provides administrative support within the Logistics / Supply Chain area, focusing on warehousing functions, outbound transport, or both.

Depending on the size and structure of the logistics/warehousing operation, the Warehouse / Logistics Assistant reports to the Warehouse & Logistics Manager, Warehouse Manager, or Transport / Logistics Manager. The scope of the role varies, with larger operations requiring specialized focus (e.g., stock control, transport planning), while smaller operations may require a generalist capable of handling all aspects of goods control and distribution, including forklift operation if necessary.

Responsibilities:

1. Inventory Management & Stock Control:
   • Reorder materials and equipment as needed, register these in relevant systems, and monitor supplier performance.
   • Inspect and maintain materials, tools, and equipment to ensure optimal availability and timely identification of bottlenecks.
2. Inbound Goods and Storage:
   • Coordinate receipt of incoming materials, check quantities, damages, and completeness, and organize storage locations.
   • Ensure proper unloading, labeling, and storing of items at designated locations, verifying quality and conformance.
3. Outbound Goods and Transport Planning:
   • Prepare goods for dispatch, including documentation and labeling.
   • Assist in routing and scheduling vehicles to meet customer expectations efficiently.
   • Arrange transportation for delivery to internal and external customers.
4. Systems and Administration:
   • Manage logistics data entry, including intake, distribution, and stock levels, providing reports for stakeholders.
   • Maintain order handling, quotations, and master data in line with company standards.
   • Manage customer relationships, ensuring requests are handled appropriately to maintain satisfaction.
   • Monitor and evaluate logistics processes, initiating improvements for continuous optimization.
5. Compliance: Ensure adherence to safety, quality, risk, and health regulations.
6. Other Duties: Perform additional warehouse/logistics support tasks and special projects as assigned.
