Description du poste

The International Potato Center (CIP), on behalf of CIMMYT, is seeking one (1) Administrative Assistant II to support operational activities at the Office in Lichinga.

CIMMYT has established a hosting agreement with CIP for a project in Mozambique, leveraging CIP’s legal and operational framework to facilitate administrative services.

About the position :

The Administrative Assistant will ensure the smooth operation of CIMMYT by providing a wide range of administrative and general support duties of a highly responsible and confidential nature to guarantee smooth flow of the office.

The selected candidate will be based in Lichinga, Mozambique, and will report to the Project Finance & Administrative Manager at CIMMYT.

Key responsibilities :

  • Collect data to guarantee the information in the database is complete.
  • Support on administrative activities to guarantee an effective execution of the business unit’s needs.
  • Support the development of policies, documents and manuals of the business unit.
  • Comply with national and international health and safety laws, regulations and standards.
  • Analyze the data collected using different programs to contribute accurate information.
  • Handle daily office operations, producing photocopying, scanning and filing documents.
  • Organize and schedule appointments, plan meetings and take minutes.
  • Prepare, manage and file organizational documents including reports, agreements and all correspondence.
  • Monitor office supplies, prepare requisition forms and follow up timely procurement.
  • Assist in organizing meetings, workshops and events.
  • Act as a liaison between the Project Administrator and Finance, Project Manager and other stakeholders by transmitting directives, instructions and assignments.

Requirements

What are we looking for?

The selected candidate should have the following skills, knowledge, experience, and personal characteristics :

  • Bachelor’s degree in Business Administration, Management or related field
  • Three to five years of experience required in similar position in a non for profit organization.
  • Intermediate Level of MS Office
  • Effective verbal communication for interacting with stakeholders.
  • Fluent in Portuguese.
