Job Description:

The International Potato Center (CIP) is looking for a proactive Administrative Assistant to support the implementation of the West Bengal project and coordinate with the country offices of India.

About the role

This position will be based in West Bengal and will work with interdisciplinary teams at CIP’s regional office in New Delhi and headquarters in Lima, Peru. The position reports to the Project Manager of the West Bengal Project.

Key responsibilities:

  • Provide logistical and technical support to projects in administrative issues.
  • Assemble and draft documents and reports, integrating information from multiple sources using office technology and software, often of a highly technical and/or confidential nature.
  • Coordinate and update the events calendar and support the organization of project meetings and events.
  • Manage supply chain and resource requirements to maintain office supplies and equipment functionality.
  • Support the formulation of the project’s budget, operational plans, policies, and procedures.
  • Coordinate international and national trips, ensuring all arrangements are properly handled.
  • Maintain organized administrative records, including project publications and trip reports.
  • Assist in organizing data collection, participant payments, surveys, and field worker activities.
  • Ensure compliance with health and safety laws, regulations, and standards.

Requirements

  • Bachelor’s degree in secretarial administration, commerce, or related fields.
  • At least 3 years of experience in similar administrative or general services roles.
  • Proficiency in office technology and software applications.
  • Excellent writing and reporting skills.
  • Experience in data management and survey design is an advantage.
  • Ability to organize project activities and processes effectively.
