American Section Administrative Assistant

Part-time. CDI. Starting date: 26 August 2025.

ASALI (Association de la Section Américaine du Lycée International, the American Section) is a private association “Loi de 1901” that provides an American education in the framework of the Lycée International of Saint-Germain-en-Laye, a French public school. The Lycée International is an international school comprised of 14 sections, one of the largest of which is the American Section. The association has approximately 700 students starting from Pre-K (maternelle) to 12th grade (Terminale) and between 25 and 30 employees.

Mission

The American Section Administrative Assistant supports the Director and administrative staff with the day-to-day operations of the American Section. Tasks are multiple and varied, with a potential for the development of a significant degree of autonomy over time.

Qualities required:

  • A friendly and welcoming disposition, coupled with the ability to run an efficient office
  • Proficiency with major software applications (MS Office, Adobe, Google platform) and willingness to learn new IT tools
  • Familiarity with online database management systems

Duties and Responsibilities

  • Welcoming visitors and ensuring they are taken care of
  • Managing mail and deliveries, incoming calls, and voicemail
  • Learning and operating the Section's administrative database (Veracross)
  • Supervising the phone system and the photocopiers, liaising with the providers for maintenance, supplies, and updates
  • Managing office and general classroom supplies
  • Keeping the Staff calendar and producing the weekly office newsletter
  • Maintaining the general appearance of the office area and supply closet

Office assistance:

  • Organize guest logistics (examiners, speakers, etc.): coordinate schedule with organizer, set up on-site logistics (welcome packets, schedules, photocopies, computer access…)
  • Support the organization of school trips (prepare paperwork and participant lists, coordinate budget with trip organizer, collect permission slips, follow-up on payments, order transportation, reserve hotels and activities, etc.)
  • Assist with the planning and running of American Section events (including logistics such as room reservations, purchases, deliveries, etc.)
  • Organize Section meetings and Faculty and Staff parties
  • Liaise with the French administration and other Lycée sections (disseminate correspondence, coordinate with the Intendance, cafeteria staff, maintenance, etc.)

Other duties as may be assigned by the Director.

The total gross annual salary for the duration of the contract is between €25,000.00 and €32,000.00, commensurate with experience.

Hours

30 hours/week (from 9:00 am to 3:30 pm, with a 30-minute break for lunch) with 14 weeks paid vacation, to be taken during scheduled school vacations (Toussaint, Christmas, February, Easter, and summer (not including the first and last week of summer vacation) vacations for Zone C).
