As an Administrative and Office Management Assistant (Alternance), you will support the smooth running of our Paris office. Reporting directly to our Administrative and Financial Manager, you will be involved in a wide variety of administrative, financial, and organizational tasks. This is a great opportunity to gain hands-on experience and develop your skills in a dynamic and international environment.
Administration & Billing
Assist in managing customer invoicing (via Pennylane), monitoring collections, and following up when needed.
Help in organizing and filing supplier invoices, ensuring proper entry and payment execution.
Help in participating in monthly closings and social/tax declarations.
Support in coordinating with the accountant and compiling necessary information for financial statements.
Payroll & Human Resources Management
Assist in preparing payroll via PayFit (variable elements, absences, leave) and ensuring compliance with admin procedures.
Take part in managing schedules, tracking leave requests, and supporting employees with their onboarding and offboarding processes.
Office Management
Assist in ensuring the smooth daily operations of the Paris office, including managing service provider relationships and purchasing supplies.
Take partin maintaining a pleasant work environment by organizing office layout, team events, and cohesion initiatives.
Support in organizing business travel and booking rooms/equipment for meetings.
