Job summary

KONE is seeking a Purchasing Coordinator to join the Global Spares Supply unit. You will ensure efficient execution of stock material purchase orders, data quality, and timely supply to DCs and sites.

The role is fixed-term through the end of 2027 and requires SAP MM proficiency and strong Excel/Power BI skills. Responsibilities include creating POs, tracking statuses, resolving discrepancies, and coordinating with suppliers for on-time delivery.

Qualifications

  • Experience in supply chain processes.
  • Proficiency in SAP MM Module.
  • Proficiency in Microsoft Office (Word, Advanced Excel, PowerPoint, Power BI), Salesforce and PDM.
  • Fluent in English.
  • Bachelor’s or Master’s degree (preferably in Supply Chain or related field).

Responsibilities

  • Monitor purchase requisitions and create purchase orders with suppliers.
  • Generate manual POs based on requests from cross-functional teams with proper approvals.
  • Oversee PO status with suppliers and confirm order confirmations.
  • Resolve deviations or discrepancies in orders.
  • Update order confirmation data in SAP.
  • Handle IDOC errors related to supplier order confirmations.
  • Coordinate with suppliers for timely material delivery to designated locations.
  • Assist suppliers with transportation arrangements as needed.
  • Manage supplier emails and inform planning team of holiday schedules.
  • Coordinate forecasting with planning team and maintain supplier contacts.
  • Monitor exceptions and follow up on daily issues.
  • Participate in process improvement initiatives.
  • Adhere to KONE PO policy and other quality, safety, environmental standards.

Job description

We are looking for a Purchasing Coordinator to join our Purchase Order Management team within the Global Spares Supply unit. The role ensures efficient execution of stock material purchase orders, good data quality, and timely material and service supply. This is a fixed-term position, starting as soon as possible and continuing until the end of 2027.

Key Responsibilities
  • Monitor purchase requisitions and create purchase orders (PO) with preferred or approved suppliers.
  • Generate manual POs based on requests received from cross-functional teams, ensuring proper approvals are in place.
  • Oversee the monitoring of purchase orders and confirm order statuses with suppliers.
  • Resolve any deviations or discrepancies.
  • Update order confirmation data in SAP.
  • Handle IDOC errors related to integrated supplier order confirmations.
  • Follow up with suppliers to ensure timely material delivery to DCs, FLs, or other designated locations.
  • Assist suppliers with transportation arrangements as needed.
  • Manage incoming emails from suppliers, stakeholders, and cross-functional teams in the shared mailbox.
  • Collect and inform the planning team of suppliers’ holiday schedules for better planning.
  • Coordinate with the planning team to send forecasts to suppliers.
  • Maintain up-to-date supplier contact information in the system.
  • Monitor and address exceptions and follow up on daily issues.
  • Actively participate in process improvement initiatives.
  • Ensure compliance with KONE policies and procedures, particularly the PO policy.
  • Adhere to quality, safety, and environmental standards.
Requirements for the candidates
  • Proven experience in supply chain processes
  • Proficiency in SAP MM Module
  • Proficiency in Microsoft Office (Word, Advanced Excel, PowerPoint, Power BI), Salesforce and PDM
  • Fluent in English
  • Bachelor’s or Master’s degree (preferably in Supply Chain or related field).
