AXA Partners is seeking an Office Services & Physical Security Manager to oversee all Nordic offices, with a strong focus on daily operations, security, and compliance. The role is based in Helsinki, requiring presence five days a week to ensure smooth running of offices and strong safety practices.

You will coordinate with service providers, manage budgets, and lead training, travel arrangements, and vendor negotiations across the Nordics. Fluent Finnish, Swedish, and English are essential.

• Support health, safety policies, fire regulations, and emergency procedures.
• Lead security compliance, incident reporting, and risk mitigation.

Are you a proactive, development-oriented professional with a passion for ensuring smooth operations and top‑notch security? We are looking for a dedicated Office Services & Physical Security Manager to oversee and enhance our office environments across the Nordics and safeguard our sites with expert security management.

About The Role

As the Office Services & Physical Security Manager, you will be the key person responsible for the daily operation and maintenance of all AXA Partners offices in the Nordics. You will also serve as the Physical Security Manager for all our sites, ensuring compliance with security policies, mitigating risks, and maintaining a safe and efficient working environment. This is a hands‑on role where you'll be present at the Helsinki office five days of the week to ensure everything runs like clockwork!

Your Responsibilities

• Manage facilities operations, including maintenance, visitor access, and office supplies.
• Coordinate with service providers, landlords, and internal teams to ensure high standards of office management.
• Oversee security systems, access controls, and conduct security audits to identify and address potential risks.
• Support health & safety policies, fire regulations, and emergency procedures.
• Lead efforts in security compliance, incident reporting, and risk mitigation.
• Provide administrative support across Nordic offices, including expense management, procurement, fleet management and documentation.
• Arrange and coordinate on‑site training, meetings, or events, including bookings for restaurants, hotels and travel.
• Foster a safety‑first culture and continuously seek improvements in operational and security practices.

What We’re Looking For

• Proven experience in facilities or office management within a corporate setting.
• Strong knowledge of security management practices and systems demonstrated through relevant education or practical experience.
• Excellent communication skills in Finnish, Swedish, and English.
• Ability to handle multiple tasks with attention to detail and a proactive approach.
• Strong coordination and negotiation skills to effectively manage suppliers, contractors, and internal stakeholders.
• A professional, customer‑oriented approach with excellent interpersonal skills.
• Flexible, with a willingness to travel within the Nordics if needed.
