  • Monday - Thursday: 11am - 8pm CET
  • Friday: 11am - 3pm CET

Position Overview:

We are seeking a detail-oriented and reliable Payroll & Benefits Specialist to support our US operations from Spain. You will ensure payroll and benefits are processed accurately, contributing to a positive employee experience. You’ll collaborate with the US People team, employees, and vendors to support compliance, process improvement, and daily operations. This role is ideal for someone with a strong payroll background, an interest in people operations, and a growth mindset. Knowledge of US benefits and labor laws is a plus but not required; training will be provided.

Key Responsibilities:
Payroll Administration:
  • Onboard and offboard employees in our HRIS
  • Process weekly multi-state payroll for 250-300 employees with 100% accuracy and timeliness
  • Reconcile payroll discrepancies, manage garnishments, and lead off-cycle payments
  • Serve as liaison with payroll vendors and stakeholders
Benefits Administration:
  • Oversee employee benefits (health, dental, vision, 401(k), etc.), including open enrollment and renewals
  • Submit payroll contributions to third-party administrators
  • Communicate benefits-related information clearly and promptly
  • Support billing, vendor updates, and compliance audits (e.g., ACA, COBRA, ERISA)
Employee Support:
  • Respond to payroll, benefits, and time off inquiries
  • Guide new hires through benefits enrollment and payroll setup
  • Escalate complex issues when necessary
Data & Reporting:
  • Maintain employee records in HRIS
  • Assist with audits, reporting, and reconciliations
  • Ensure data accuracy for compliance and reporting
Compliance & Policy:
  • Ensure adherence to wage, hour, and benefits laws
  • Process I-9 and E-Verify for employees
  • Support internal controls and process improvements
  • Assist legal team with information requests
  • Complete assigned projects
Qualifications:
  • 3+ years experience in payroll and/or benefits, preferably in a multi-state environment
  • Familiarity with payroll systems (e.g., Gusto, ADP, Paylocity) and benefits platforms
  • Strong attention to detail and discretion with sensitive information
  • Excellent communication and problem-solving skills in English
  • Knowledge of wage and hour laws, benefits compliance, and best practices
  • Ability to thrive in a fast-paced, collaborative environment
  • HR certification or coursework (a plus, not required)
  • Willingness to work across U.S. time zones
