Medline Iberia is seeking a Tender Agent to support end-to-end tender management, preparing and delivering high-quality submissions on time. You will coordinate with logistics, sales, and marketing teams, ensuring compliance with public and private tenders, and handle sample orders for submissions.

The role emphasizes strong administrative skills, attention to detail, and ability to work across internal teams in a hybrid Madrid-based environment.

Formación

• 1–2 years of experience in contract and/or tender management.
• Strong administrative skills and attention to detail.
• Proficiency in Spanish is required; Portuguese is a plus.
• Ability to manage multiple tasks and priorities with a calm, professional approach.

Responsabilidades

• Prepare, coordinate, and deliver high-quality tender submissions within deadlines.
• Coordinate tender process with internal teams such as logistics, sales, and marketing.
• Support review and final sign-off of proposals and tender documents.
• Handle sample order placements required for tender submissions.
• Proactively suggest improvements to systems and processes; track contracts in CRM.

Purpose

In the role of Tender Agent, you will be responsible for supporting the end‑to‑end tender management process. You will prepare, coordinate, and deliver high‑quality tender submissions within the required timelines, ensuring that both existing and new customers receive best‑in‑class tender solutions.

How can you help us?

• Experience with providing administrative support for tenders for both public and private customers.
• Ability to ensure full compliance with public procurement requirements when working on public‑sector tenders.
• Confidence in coordinating the tender process and collaborating with internal teams such as logistics, sales, and marketing.
• Strong skills in background research, document searches, and data collection needed for tender preparation.
• A reliable approach to meeting tender deadlines and taking ownership of timely delivery.
• Capability to support the review and final sign‑off of proposals and other tender documents.
• A proactive mindset with a willingness to suggest and support improvements to systems and processes.
• Familiarity with CRM systems, including tracking contracts, managing issues, reporting trends, and responding to stakeholder inquiries.
• Readiness to handle sample order placements required for tender submissions.

• Solid oral, written, and interpersonal communication skills..

• A calm and professional approach when interacting with customers.
• Confidence in communicating with stakeholders at all internal and external levels.
• Proficiency in Spanish is required; proficiency in Portuguese is a plus.
• Strong organizational skills, resulting in a methodical and structured way of working.
• Good command of MS Office.
• Ability to work effectively as part of a team as well as independently.
