YOUR ROLE :

As our People Operations Coordinator in Barcelona, you will report to our People Operations Manager in Barcelona and work closely with the Global People Operations Team to build a world-class daily experience for our employees. We seek someone ambitious and optimistic about workplace community. You are an advocate for our global culture, the connections we foster, and the fun we bring to each day! This is a permanent, part-time role with a 20-hour per week schedule.

As an internal influencer and representative of Kodify, you will manage our European offices and employee engagement activities. You will also collaborate on social media strategy, onboarding, and various projects. The ideal candidate loves optimizing spending, fostering culture, and organizing events.

YOUR RESPONSIBILITIES :
  1. Workplace coordination
  2. Manage daily office operations, including access keys and security cards
  3. Oversee office maintenance, equipment, and supplies
  4. Handle office mail and cleanliness through vendors
  5. Negotiate contracts with vendors and software providers
  6. Arrange travel for employees and executives
  7. Manage company credit card expenses
  8. Distribute employee swag and track expenses
  9. Procure items for new hires and existing staff, track equipment
  10. Coordinate with departments on licensing and equipment
  11. Address IT issues, liaising with external providers
  12. Employee Engagement & HR
  13. Promote company culture and initiatives to enhance autonomy and growth
  14. Organize employee activities and company offsites
  15. Manage social calendar and employee celebrations
  16. Arrange training and conferences, monitor budgets
  17. Update HRIS system with relevant data
  18. Support employee branding and social media efforts
YOU :
  • 3+ years in office management or coordination roles
  • Excellent English and Spanish communication skills
  • Proactive, organized, growth-minded
  • Excellent time management skills
  • Experience in dynamic environments is a plus
  • Alignment with our mission, vision, and values
  • Trustworthy with confidential information
  • Skills in Canva or similar tools (asset)
  • Willing to work approximately 75% from the office
