About the role

We are looking for a detail-oriented, hands‑on and proactive Sr. Payroll Specialist to Lead our in‑house payroll operations in Spain. This role is responsible for the end‑to‑end monthly payroll cycle, from validating employee changes and processing payroll in A3innuva to reviewing results, resolving discrepancies, and ensuring compliance with applicable requirements. The Sr. Payroll Specialist will work closely with People Operations and Finance to maintain accurate payroll data, strong controls, and a reliable employee experience.

What challenges you'll be solving
In‑house Payroll
  • Own the end‑to‑end monthly payroll process in‑house, ensuring accurate calculations, timely processing, and salary payments.
  • Collect, validate, and process payroll inputs, including new hires, terminations, salary changes, bonuses, variable compensation, absences, leaves, and other employee changes.
  • Prepare and review payroll calculations, payslips, payroll reports, and supporting documentation before final approval.
  • Manage payroll adjustments, retroactive payments, off‑cycle payments, and corrections when required.
  • Manage Social Security processes and submissions, including SILTRA, Sistema RED and CRA files, as well as payroll‑related tax filings (Modelo 111, 190, 216 and 296).
  • Handle employment administration, including employee registrations and terminations, contract preparation and registration through Contrat@, and employment certificates.
  • Manage sick leave, work‑related accidents, maternity/paternity and other leave processes, including the relevant registrations and communications with Social Security and official authorities.
  • Manage payroll‑related employee queries and resolve day‑to‑day employment administration matters.
Compliance, Controls & Reporting
  • Ensure payroll practices are aligned with applicable Spanish employment legislation, collective bargaining agreements, tax requirements, and internal policies.
  • Maintain accurate payroll documentation and support internal and external audits.
  • Monitor payroll deadlines and maintain robust controls across the monthly payroll cycle.
  • Prepare payroll reports, reconciliations, and people‑cost data in collaboration with Finance.
  • Coordinate annual payroll processes, including tax certificates, annual reconciliations, and other statutory reporting requirements.
  • Handle confidential employee and compensation information with the highest level of discretion.
  • Maintain payroll data quality and ensure consistency between A3innuva, HiBob, and Finance records.
  • Identify opportunities to simplify, standardise, and automate payroll processes.
Stakeholder Management
  • Partner closely with People Operations and Finance to ensure accurate employee data, effective controls, and reliable reporting.
  • Coordinate with relevant external providers, advisors, and authorities when needed for specific payroll or compliance matters.
  • Communicate payroll timelines, required inputs, and relevant changes clearly to employees and managers.
What you'll need
  • Proven hands‑on experience managing end‑to‑end payroll in‑house in Spain.
  • Practical, hands‑on experience with A3innuva is essential; candidates without this experience will not meet the role requirements.
  • Strong knowledge of Spanish payroll practices, employment legislation, Social Security contributions, tax withholdings, and collective bargaining agreements.
  • Experience managing payroll calculations, payroll incidents, reconciliations, and statutory deadlines.
  • Strong analytical skills and excellent attention to detail.
  • Ability to handle sensitive information confidentially and professionally.
  • Experience working with HRIS and payroll systems; experience with HiBob is a plus.
  • Proficiency in Excel or Google Sheets.
  • Strong organisational skills and the ability to manage recurring deadlines independently.
  • Fluency in Spanish and working proficiency in English.
What Success Looks Like
  • Monthly payroll is processed accurately and on time, with clear ownership from input collection through final reconciliation.
  • Payroll discrepancies and employee queries are resolved efficiently.
