Mission : To manage the full cycle of large-scale corporate event development in line with our methodology, to meet deadlines and deliver quality projects that enable us to win proposals and successfully execute projects.
Functions :
- Briefing review and first point of contact with client for possible questions.
- Defining / understanding the objectives and goals of the event and aligning them with the proposal.
- Development of a work plan with key dates, budget, necessary resources and schedule of activities.
- Creation of the creative / technical proposal together with the creative team according to briefing and event indications (if necessary). You must be capable of preparation a presentation with strong attention to the visual elements - photos, mood boards, etc.
- Audit, search, selection, coordination and negotiation with suppliers and resources, such as venues, catering, audiovisuals, decoration, etc. Understanding of different destinations is highly valued.
- Coordination with other departments - admin, marketing, creativity, etc.
- Continuous client follow-ups in line with company´s protocols.
- Organization of all event related documentation in Google Drive folders.
- Ensuring that the event complies with Nanook's sustainability plan.
- Event management :
- Preparation and management of event budgets.Strong understanding of excel is a must for budgets preparation.
- Monitoring expenses, and finding ways to maximise efficiency and minimise unnecessary costs.
- Coordination of logistical aspects of the event : (space layout, seating arrangements, guest flow management and scheduling of activities...).
- Logistical management of transport, accommodation, rooming lists, catering, etc.
- Preparation of the Day by Day document and supervision of the execution of the event on the day of the event.
- Effective problem solving is a must.
- Ensuring client expectations are exceeded by proper preparation of the event in advance and clear, transportant communication with all parties involved.
- Ensuring excellent customer service at all times.
- Post-event :
- Conducting debriefing with client to analyse and measure the outcome of the event.
- Managing invoices and filing all relevant documentation.
- Preparation of case study as well as mailing of customer satisfaction survey.
Responsibilities :
- Responsible for submitting proposals within deadlines and meeting the required quality.
- Responsible for submitting proposals focused on meeting our sustainable development objectives.
- Responsible for the coordination and follow-upa with all parties involved in the project.
- Responsible for the smooth running of the event on the day of the event.
- Responsible for the closing of the project in the corporate tools required for this purpose.
Requirements :
- Degree in marketing, communication, journalism, advertising, psychology or similar.
- Specific education or training in protocol and event management or hospitality will be an asset.
- At least 7 years of experience in the execution of full service corporate events.
- Google Workspace skills are a must.
- Experience working in corporative events.
