Job Summary

As a Sales Support Specialist, you will leverage your technical knowledge in food concepts, effectively contributing to our supply chain processes. You will make a difference by ensuring regulatory compliance, managing critical documentation, and maintaining strong relationships with customers and suppliers, all while supporting seamless operations within a fast-paced industry.

General Responsibilities

1. Support the Sales Manager in managing day-to-day business
2. Respond to customer and supplier queries in English and relevant local languages
3. Process customer and supplier requests, ensuring timely creation and distribution of order confirmations, invoices, and regulatory documents
4. Monitor end-to-end supply chain operations, from procurement to final product delivery
5. Process product and document approvals based on Specifications for Food, Regulatory, and Quality Certificates
6. Obtain price offers, requested documents, and certificates from suppliers
7. Collect and manage product information for the Sales Manager
8. Validate purchase documents and review Certificates of Analysis in compliance with regulatory standards
9. Collaborate with the European logistics and regulatory teams
10. Maintain a log for customer complaints and issues, and follow up on ongoing customer issues
11. Organize and manage a document database for food safety and regulatory documents and certificates, including IFS Certification
12. Create and maintain SAP master data, SKUs, and Salesforce (SFDC) materials
13. Validate VAT-related concerns with the VAT controller when needed
14. Coordinate the dispatch of samples

Functional Skills and Knowledge

• Minimum 5 years of experience in sales support, purchasing, and sales administration
• Technical skills and knowledge on food concepts (Nutrition, Technology of Food, etc.)
• Work experience in distribution, trading, or export/import
• SAP knowledge
• Proven ability in multi-tasking and prioritizing workload
• High attention to detail, follow-through, and accuracy
• Proficient in MS Office tools (Excel, Word, PowerPoint)
• Fluent in local languages and ideally in English, written and spoken
