About the Team Hiring

Sales teams are GRAITEC's primary connection to our customers. They are responsible for ensuring that GRAITEC is supporting our customers’ digitization to achieve their mission and desired business outcomes through solution selling.

They are collaborating with our business development team, customer success teams and solution line teams to attract new customers and expand their current business.

Overview

The Sales operations specialist is passionate about collaborations and customer satisfactions!

The role of a sales admin is to support the sales team in their daily operations. They are responsible for organizing and maintaining sales data in the CRM, preparing sales reports and providing administrative support to the sales team. They also manage communication between different departments, customers, and suppliers.

The sales admin plays a crucial role in ensuring that the sales team is working efficiently and effectively.

Key Responsibilities

  • Provide administrative support to the sales team, including administrative support for tenders, maintaining CRM, and handling customer enquiries.
  • Assist with the preparation of proposals, and quotations.
  • Maintain and organise sales documentation, contracts, and other essential records.
  • Coordination of Autodesk Cases / escalation.
  • Customer Relationship Management.
  • Communicate with clients to confirm orders, provide updates, and address any concerns.
  • Assist in managing and updating customer information in the CRM database.
  • Foster positive relationships with customers to ensure repeat business and customer satisfaction.
  • Work closely with the sales, marketing, and finance teams to ensure alignment and smooth execution of sales processes.
  • Go to person for referral agent.
  • Coordinate with the finance department on invoicing, payment processing, and collections.
  • Work closely with Order Opps team.

Key Success Indicators

  • Data accuracy and quality metrics (e.g., transparency on activity).
  • Collaboration and building rapport with all levels of Sales team.

Required Experience

  • A-Level or equivalent; Bachelor's degree in Business Administration, Marketing, or a related field preferred.
  • 2+ years of experience in a sales support or administrative role, preferably within a sales-driven environment.
  • Knowledge of sales processes and key performance metrics.
  • Basic knowledge of invoicing, billing, and financial operations.

Qualifications

  • Fluent or professional level of German is mandatory.
  • Strong organisational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint).
  • Familiarity with CRM software (e.g., Salesforce, Dynamics) and ERP systems is a plus.
  • Ability to work independently and as part of a team.
  • Detail-oriented with a problem-solving mindset.
  • Ability to handle confidential information with integrity.
