We are seeking a Receptionist to provide general office support, including administrative activities, logistics, supplies management, invoicing, inventory, communication organization, and daily office operations.

Responsibilities

  • Greet, welcome, direct, and announce visitors appropriately.
  • Maintain and replenish office inventory, check stock levels, anticipate needs, and verify receipt of supplies.
  • Provide administrative support.
  • Assist with Board and Executive team meetings.
  • Process incoming invoices for payment in coordination with the Administration Director.
  • Answer, screen, and forward phone calls; provide basic information as needed.
  • Manage office suppliers to ensure necessary supplies are available.
  • Serve as the point of contact for maintenance, shopping, supplies, and office operations.
  • Receive and sort mail, deliveries, and couriers.
  • Manage agendas, resources, and meeting rooms, including video conferencing and office amenities.

Work Experience and Education Requirements

  • Bachelor’s degree in administration or related field.
  • At least 3 years of experience in a similar role.
  • Bilingual in Spanish and English.
  • Friendly personality with strong interpersonal skills.
  • Creative mindset with suggestions for improvements.
  • Strong organizational and planning skills.
  • Ability to handle multiple projects simultaneously.
  • Attention to detail and problem-solving skills.
  • Team-player attitude.
