Position Summary :

As our Luxury Rentals Receptionist, you will be the main contact point between our company and guests, using platforms like Marriott Homes & Villas, Airbnb, Vrbo, and corporate clients. Your goal is to ensure each guest has a 5-star experience from first contact, providing quick responses and assistance via WhatsApp, email, phone, and online tools, while maintaining accurate property management records.

Responsibilities :

  • Provide exceptional support to guests during their stay, acting as the main point of contact via WhatsApp, email, and phone.
  • Build long-term relationships with guests.
  • Ensure effective communication with other departments and management.
  • Respond promptly to chats, calls, emails, and inquiries across all platforms.
  • Input leads from OTAs, direct bookings, and agents into our PMS, keeping records updated.
  • Handle guest inquiries to provide unique experiences and convert inquiries into bookings.
  • Follow up on leads, updating the PMS accordingly.
  • Coordinate the booking process with the admin team, from contract to payment, checkout, and deposit return.
  • Generate and send booking reports to property owners for approval.

Qualifications :

  • Work in the office.
  • Strong relationship-building skills.
  • Fluent in written and spoken English and Spanish.
  • A degree from a reputable university or equivalent experience.
  • Interest in multiple subjects.
  • Understanding of luxury travel and travelers.
  • Willing to help, be a team player, and bring positive energy.
  • Ability to multitask efficiently and meet deadlines.
  • Warm, friendly, and efficient character with attention to detail.
  • Ability to manage own schedule independently.
  • Entrepreneurial spirit, willing to handle various tasks.
  • Polite and well-spoken when greeting guests.
  • Knowledge of third languages such as Dutch, German, or French is valuable.
  • Tech-savvy, experienced with OTAs and similar platforms.
  • Strong work ethic and commitment.
  • Good organizational and time management skills.
  • Strong sales and customer relationship skills.
  • Understanding of the company culture and luxury rental standards.
  • Exceptional communication skills.
  • Proficiency with WhatsApp, email, phone, PMS, and data management tools.
  • Familiarity with Airbnb, VRBO, booking.com.
