The Project Specialist (PS) supports our Operations & Project Teams by provisioning them with & coordinating our operational systems, resources and assets through NPSG’s Operations Management processes. Responsible for undertaking a range of support tasks ensuring a consistent project delivery from kick-off to project completion; pivotal in managing the logistical and administrative functions that support our European Operations. This includes but is not limited to managing travel and accommodation bookings and any related reporting requirements in support of the European Operations and Corporate teams and general administrative duties in support of the Operations Management team.
Key Responsibilities
Be fully conversant of the requirements of site access and set-up in advance of project launch and build a blueprint per country.
Connect the team together to communicate and manage this whole process and collaborate with HQ Functions including People & Talent Teams, HSEQ & Operations.
Fulfil NPSG standardised mobilisation by fulfilling resource requests and managing personnel and project documentation between internal and external parties.
Engaging with suppliers and procuring materials and equipment to meet business needs in line with the company procurement policy.
Maintain accurate and up-to-date records of all project mobilisation activities, including site access documentation, equipment inventory, and communication logs.
Generate regular reports on project mobilisation progress, identifying potential risks and issues, and proposing solutions.
Multi-tasking and prioritising the provision of administrative support to the NPSG Operations Manager and team (e.g. shipping, maintaining logs, and ordering supplies, supplier communications, filing and record keeping, scanning, printing, copying etc).
Key stakeholder for NPSG travelling workers and temporary workers, in liaison with the Operations, People and Talent teams. Support arranging travel and accommodation, visas and work permits and managing any queries related to travel for their particular working group.
Requirements
Work Experience: At least 3 years experience in an operations administration role; preferably with experience in a live site environment – used to a fast paced; seasonal culture. Ideally experienced supporting multiple entities.
Educational Qualifications: Ideally, educated to degree level; or able to demonstrate continuous personal development beyond formal education.
Stakeholder Management & Communication Skills: Strong stakeholder management and communication skills. Ideally bi-lingual; ability to communicate in English and Spanish as well as either French or Italian.
Organisational Skills: This role requires excellent organisational skills, including the ability to plan and coordinate activities, manage multiple projects simultaneously, and track progress. The role holder should be adept at working with others to ensure that tasks are completed on time and within budget.
Software Skills: Word, Office, Excel. Fluent spoken and written English. Conversant in Spanish-German-French-Italian is a plus.
