Senior Administrative Assistant Marketing & Innovative Solutions

Job Location: Madrid, Spain

General Description: Under the direction of the Marketing & Innovative Solutions Director, the Senior Administrative Assistant will be responsible for providing support to the local X-functional team of BeiGene in the country with specific dedication to the Marketing and Innovative Solutions team.

Key focus on purchasing processes, contracting, vendor management, event support, team support, and support in the development of materials and local internal / external communication assistance.

Essential Functions of the Job:

  1. General Administration
    • Provide general administrative / project management support to the local X-functional team of BeiGene in the country with specific dedication to the Marketing and Innovative Solutions team.
    • Support in the organization of internal meetings and those with HCPs and partners, including catering.
    • Support in managing relationships with vendors and service providers.
    • Vendor onboarding, contract management, and raising POs.
    • Support in managing local OPEX: raising POs and tracking OPEX.
    • Assist in the onboarding plan for new hires within the Commercial team.
    • Conduct clerical duties, including filing, answering phone calls, responding to emails, and preparing documents.
    • Organize mail and couriers.
    • Assist with travel arrangements for leadership as backup.
    • Any other duties as assigned.
  2. Business Support:
    • Support in external live and digital events (congresses, workshops, etc.) in cooperation with the local team and/or agencies.
    • Support in the preparation of commercial materials according to the needs of the team coordinated with the Marketing Team.
    • Support in the internal material approval and documentation process.
    • Support in Congress and conference planning and administration.
  3. Compliance Data Collection:
    • Support in Transfer of Value (ToV) data collection, structuring, and managing processes and regulations, including support for compliance activities such as local declaration / authorization and participation in the legal review of agreements with healthcare professionals, hospitals, organizations, etc.
    • Be familiar with the ABPI, IPHA, and Farmaindustria codes as required knowledge.

Education Required:

Relevant degree or professional training in business administration; advanced computer skills required.

Qualification Required:

  1. Minimum of 5 years’ experience assisting high-level leaders; multiple disciplines a plus.
  2. Extensive experience in efficiently multi-tasking between business partners and priorities.
  3. Experience in a dynamic and fast-changing environment.
  4. Experience in handling highly critical and confidential matters with the highest level of discretion and tenacity.
  5. Ability to take on increased responsibility as the company grows.
  6. Ability to independently work in an ambiguous yet fast-paced environment.
  7. Strong organizational and communication skills, team-oriented philosophy, and problem-solving skills.
  8. Demonstrated ability to relate well with all levels of management and peers; a positive can-do attitude.

Travel: Attendance at internal events and team meetings and possibly project-related meetings. Overall, the expected travel is below 10%.
