We’re looking for a Project Coordinator (f/m/d), to join our Operations team in a full-time position based in Barcelona.
PROJECT COORDINATOR (F/M/D)
You love to keep things running smoothly and describe yourself as an excellent organizer with an eye for detail. Challenges motivate you, and you always find creative solutions. Are you great at multitasking, a true team player, and someone who’s not afraid to roll up your sleeves and help whenever needed? Then we definitely want to get to know you!
Your responsibilities:
- Manage the planning and delivery of online and onsite registration processes for attendees and exhibitors
- Oversee allocation and coordination of meeting rooms
- Coordinate meeting room set-up and required services with the venue and external suppliers
- Track meeting room usage and work with teams to ensure requirements and logistics are in place
- Maintain clear project timelines and documentation
- Collaborate with internal teams, the venue, and suppliers to deliver a seamless experience
- Act as a key point of contact for registration and meeting room inquiries, in close cooperation with the Customer Success team.
- Share regular progress reports and analyze post-event data to drive continuous improvement
- Proven experience in operations or event management, ideally with a focus on registration systems and/or meeting room logistics
- Completed studies in event management, hospitality, exhibitions or a related field – or equivalent practical experience in a comparable role
- Strong organizational skills and high attention to detail
- Excellent communication and interpersonal skills, with a customer-focused approach
- Comfortable using registration systems, project management tools, and working with data in Excel
- Proactive, solution-orientated mindset with the ability to adapt to changing circumstances
- Strong command of English and Spanish languages
