This role involves project coordination, enhancing communication across teams, managing social media, and handling high-level outreach. NOTE : This role spans multiple companies and countries. It can be fully remote or hybrid. It is beneficial if you speak other languages alongside English.

NOTE : Candidates must have previous experience as an EA and within project management of digital projects.

How will you fit into the bigger picture?

This is an exciting new role in a startup environment, working closely with the founder and Managing Director (MD) and management on ad-hoc projects while providing EA support.

The Project Coordinator & EA will assist in executing new projects and strategies, liaising with operational, marketing, and other teams to ensure efficiency and adherence to timelines. Business areas include, but are not limited to:

  • Direct-to-consumer E-commerce retail
  • Digitising collectibles & gold
  • Global mobility

Responsibilities include:

  • Supporting MD and management on ad-hoc projects.
  • Liaising with specialists, designers, and content creators.
  • Meeting project timelines.
  • Enhancing communication across teams (legal, marketing, sales, etc.).
  • Problem solving with MD and management support.
  • Removing blockers.
  • Supporting MD and management outreach, including drafting email templates and using online tools to message potential investors, partners, influencers, and thought leaders on LinkedIn and other social media platforms.
  • Researching and contacting influencers and potential investors or companies using tools like Beaufort, Dealroom, Crunchbase, etc.
  • Supporting market research and preparing presentations/pitch decks for MD, board, and sales/marketing teams.
  • Creating PowerPoint templates and liaising with design/content teams.
  • Supporting event organization, including coordinating with participants and speakers, sending reminders, and attending meetings, taking minutes, and monitoring actions.
  • Managing MD's email inboxes and calendar, including personal commitments and travel arrangements.
  • Managing social media and marketing activities, including posting, responding to messages, managing Hootsuite, and coordinating with marketing staff and agencies.

Candidate Requirements:

  • Attention to detail and a drive for perfection.
  • Track record in digital products and sales.
  • Experience working with high-value or luxury goods.
  • Proven experience as an EA and project coordinator.
  • Excellent communication skills, both client-facing and internal.
  • Exceptional problem-solving skills.
  • Excellent organization and time management, with the ability to prioritize and delegate.
  • Ability to multi-task and remain calm under pressure.
  • Adaptability to change and resourcefulness.
  • Good knowledge of customer service and sales.
  • Enthusiasm for working in a fast-paced, ambitious environment.
  • Strong work ethic and commitment to completing tasks.
