NOTE : This role spans multiple companies and countries. It can be fully remote or hybrid. It is beneficial if you speak languages other than English.

NOTE : Candidates must have previous experience as an EA and in project management of digital projects.

How will you fit into the bigger picture?

This is an exciting new role in a startup environment, working closely with the founder and Managing Director (MD) and management on ad-hoc projects while providing EA support.

The Project Coordinator & EA will assist in executing new projects and strategies, both long and short term. You will liaise with operational, marketing, and other teams to ensure tasks are completed efficiently and on time. Business areas include, but are not limited to:

  • Direct-to-consumer E-commerce retail
  • Digitising collectibles & gold
  • Global mobility

Responsibilities

  • Supporting MD and management on ad-hoc projects.
  • Liaising with specialists, designers, and content creators.
  • Meeting specific project deadlines.
  • Enhancing communication across teams (legal, marketing, sales, etc.).
  • Problem solving in collaboration with MD and management.
  • Removing blockers to progress.
  • Supporting MD and management outreach efforts.
  • Drafting email templates.
  • Using online tools to message potential investors, partners, influencers, and thought leaders via LinkedIn and other social media (with input from MD and/or marketing staff).
  • Researching and contacting influencers (social media, blogs, thought leaders).
  • Supporting research tasks as directed by MD and management.
  • Outreach to companies and individuals to develop business and schedule meetings with MD.
  • Conducting market research (potential investors, companies using tools like Beaufort, Dealroom, Crunchbase, etc.).
  • Creating presentation templates for PowerPoint.
  • Liaising with design and content teams.
  • Supporting event organization, including liaising with participants and speakers, and sending reminders.
  • Arranging and attending Board and Committee Meetings; taking minutes and monitoring actions.
  • Managing MD’s emails and calendar, including personal commitments and travel arrangements.
  • Managing social media and marketing activities, including posting, responding, and managing Hootsuite account.

Candidate Requirements :

  • Attention to detail and drive for perfection.
  • Experience in digital products and sales.
  • Experience working with high-value or luxury goods.
  • Proven experience as an EA and project coordinator.
  • Excellent communication skills, both client-facing and internal.
  • Exceptional problem-solving abilities.
  • Strong organization and time management skills.
  • Ability to multi-task and remain calm under pressure.
  • Adaptability and resourcefulness.
  • Knowledge of customer service and sales.
  • Enthusiasm for working in a fast-paced, ambitious environment.
  • Strong work ethic and commitment to completing tasks.
