Through international academic experiences, UCEAP inspires students to explore and transform their lives, UC, and the world. Since 1962, UCEAP has served as the UC systemwide study abroad program, supporting this mission and serving over 100,000 students across all 10 UC campuses and over 30,000 international exchange students. UCEAP typically has over 6,000 student participants annually and is active in over 40 countries worldwide. Sustained by strong academic excellence, spirited faculty collaboration and an interrelated support system, UCEAP produces future global citizens and thought leaders.


The UCEAP Barcelona Study Center, located on campus Plaça Universitat of the University of Barcelona, provides academic and student welfare support to more than 350 UCEAP University of California students per year participating in academic programs at universities and institutions including the University of Barcelona, Pompeu Fabra University, and Universitat Autonoma de Barcelona.

Gross Monthly Compensation (x14): EUR 1,786 - 2,000


Employment Type: Full-time 40 hours/week

Job Description:


Under the general direction of the Program Manager, the Program Coordinator provides a wide range of student services in support of UCEAP’s international academic exchange programs in Spain. Serves as a first point of contact for general student inquiries and as the primary academic and student services advisor for assigned programs (ensuring that students adhere to both UC and partner program requirements). Provides administrative and logistical support to the program including student services, emergency response and program operations. Is responsible for communicating with students, partner institutions and the Systemwide UCEAP Office on program administration, policies and procedures, requirements and student welfare-related issues. Participates in emergency response on-call rotation (and serving occasionally as back-up primary contact) for students to provide after-hours/weekend emergency support during program terms.


Must be available occasional weekends and/or after hours to accompany students participating in cultural activities and to participate in meetings with the UCEAP Systemwide Office outside of regular business hours.


Requirements:


  • Minimum three years of experience in higher education program administration or equivalent combination of training and work experience.
  • Strong professional English, Spanish, and Catalan verbal and written communication skills, typically equivalent to CERF level C1 or higher. Skill in obtaining and conveying information clearly and with accuracy.
  • Solid interpersonal skills with proven ability to engage with students and employ counseling techniques with sensitivity including appropriate referrals.
  • Multicultural competencies; ability to work with diverse groups to achieve results.
  • Demonstrated project and operational management abilities to coordinate a broad range of operational, academic, and student welfare and conduct issues.
  • Demonstrated ability to listen, learn, and build trust among faculty, staff, and students.
  • Commitment to valuing diversity and creating an inclusive work environment.
  • Previous customer service experience and ability to empathize with customer concerns while treating them with patience and respect.
  • Demonstrated experience supporting and providing student services including advising and counseling; ability to assess and give appropriate referrals.
  • Knowledge about current safety, security, and health issues, as they affect students abroad.
  • Ability to problem-solve and use sound judgment and decision-making skills on concepts requiring analytical skills.
  • Knowledge of the structure and organization of Spanish higher education.
  • Knowledge and understanding of the goals of education abroad programs.
  • Sound judgment and proficiency in ability to use discretion, maintain data privacy, and maintain all security and confidentiality with sensitive and personally identifiable information (PII).
  • Proficient in MS Office or similar, cloud-based computing and collaboration platforms (MS Teams, SharePoint, etc.), virtual meeting platforms, familiarity with social media platforms; and a willingness to learn other applications and technologies, as needed.
  • Ability to work independently and demonstrate initiative, prioritize and adjust to varying workloads, manage a variety of tasks and meet various deadlines with changing priorities, interruptions and conflicting deadlines.

Desirable: Experience studying, working, or living abroad; Knowledge of the structure and organization of U.S. higher education; Experience planning events such as student orientations.
