Personal Assistant to the Creative Director – JANTAMINIAU
Overview
We are looking for a proactive, organized, and culturally sensitive Personal Assistant to support the Creative Director of JANTAMINIAU in the daily flow of creative and operational work. This role is pivotal in managing time, tracking progress across multiple projects, and coordinating with both internal team members and external collaborators. You will act as the right hand of the Creative Director — helping bring ideas into structure and structure into action.
Key Responsibilities
1. Planning & Organization
- Manage and maintain the Creative Director’s calendar (meetings, creative work blocks, travel, etc.)
- Track deadlines and project milestones in Microsoft Planner or similar tools
- Prepare reminders, priority overviews, and weekly planning summaries
- Help structure project folders (e.g., OneDrive, SharePoint), and keep briefs up to date
2. Team & Freelancer Coordination
- Help identify, contact, and follow up with freelancers for specific tasks (e.g. 3D designers, writers, artisans)
- Coordinate with team members and make sure everyone has what they need to move forward
- Follow up on pending actions from meetings or creative sessions
3. Project Management Support
- Track budgets for selected projects, ensuring no overspending
- Support in quality-checking status of deliverables (Are all components received? Who is delayed?)
4. Partnership Research & Support
- Research potential collaborators — such as artisan workshops, glassmakers, engravers, or packaging suppliers
- Create overviews of capabilities, pricing, location, production timelines
- Conduct outreach with a professional, brand-aligned tone
- Organize sample requests, shipping, and introductory calls
- Help follow up and prepare summary notes or briefs
5. Communication Support
- Draft or review communications for clarity (emails, messages to partners, internal notes)
- Translate or review translations (English Spanish) if needed
6. Occasional Personal Admin Support
- Assist with travel planning, booking appointments, or organizing creative inspiration (e.g. museum visit calendar)
Profile & Skills
- Comfortable with Canva or other visual tools to prepare moodboards and project templates
- Minimum 2 - 4 years of experience as a personal assistant, project coordinator, or studio manager
- Experience in creative, fashion, or cultural industries is a plus
- Excellent organizational skills and ability to follow up without micromanaging
- Good taste, discretion, and cultural sensitivity — aligned with the JANTAMINIAU brand world
- Proficient in Microsoft 365 tools (Planner, Outlook, OneDrive, Word, Excel)
- Curious, proactive, and a natural problem-solver
- Fluent in Spanish and English (spoken and written)
