Job Description
We are a dynamic and international family based in Barcelona, looking for a highly organized, proactive, and resourceful Personal Assistant & Family Manager to support our household, administrative needs, and a variety of personal projects. Key Responsibilities
- Project Management (Ibiza Apartment Renovation): Take the lead in overseeing the refurbishment of a small apartment in Ibiza. This includes coordinating with contractors, tracking timelines and budgets, and ensuring smooth project execution from start to finish.
- Errands & Logistics (Barcelona): Manage various day-to-day errands around the city, including the pickup and delivery of clothing or shoes for tailoring or dry cleaning.
- Household Administration: Handle essential admin tasks such as applying for a local parking permit, converting a Dutch car registration to a Spanish one, and arranging car insurance.
- VIP Guest Care: Provide exceptional support for visiting guests, including booking tickets to football, tennis, or other events, organizing airport transfers, and ensuring a smooth and enjoyable stay.
- Lifestyle Management: Use your networking skills to secure restaurant reservations, VIP tickets to concerts or special events, and exclusive club memberships.
- Family Administrative Support: Organize medical appointments, research and set up health insurance, handle school-related communications and needs, and manage vet visits for our cats.
- Event Planning: Coordinate small-scale events and gatherings at home, including sourcing caterers, organizing menus, staffing if needed, and arranging drinks.
Job requirements
- Proven experience as a Personal Assistant, Family Manager, or similar role with excellent organizational and multitasking abilities.
- Fluency in both Spanish and English (spoken and written) is essential.
- Valid driver’s license and a safe, confident driving record.
- Strong problem-solving skills and the ability to anticipate needs before they arise.
- Exceptional attention to detail and the ability to manage multiple responsibilities simultaneously.
- Excellent interpersonal skills and a warm, professional demeanour.
- High level of discretion and confidentiality.
- Resourcefulness and the ability to navigate services and suppliers in Barcelona (and ideally Ibiza).
- Comfortable using modern digital tools and communication platforms.
- Bonus Points: experience managing renovation or property-related projects.
- Additional language skills are a plus.
