We are seeking a highly organized, proactive, and versatile Personal Assistant to support John Broekman, Founder and CEO of THE BLUEPEARL, a well-established real estate company based in Santa Eulalia, Ibiza. This position offers a unique opportunity to work with an experienced entrepreneur who has over 25 years of experience in the Balearic market, focusing on acquiring, decorating, and maintaining premium real estate properties in Ibiza.

Responsibilities

  1. Act as the primary point of contact between John Broekman and clients, partners, and team members
  2. Manage a complex and dynamic calendar, including scheduling meetings, appointments, and on-site visits
  3. Coordinate travel arrangements both within the Balearic Islands and internationally
  4. Prepare and organize documents for real estate transactions and business meetings
  5. Handle confidential information with the utmost discretion
  6. Manage email communications and respond to inquiries on behalf of John Broekman
  7. Assist with personal errands and tasks as needed
  8. Take detailed notes during meetings and prepare follow-up reports
  9. Coordinate with the broader team at THE BLUEPEARL to ensure smooth operations
  10. Assist with the organization of special events and client hospitality
  11. Maintain organized filing systems for both digital and physical documents

Requirements and Qualifications

  1. Previous experience as a Personal Assistant, preferably in the real estate sector or for a senior executive
  2. Excellent command of both English and Spanish; knowledge of Dutch, German, or Catalan would be advantageous
  3. Strong organizational skills with exceptional attention to detail
  4. Proficiency in Microsoft Office Suite and common business software
  5. Outstanding written and verbal communication skills
  6. Ability to multitask effectively in a fast-paced environment
  7. Problem-solving mindset and proactive approach to anticipating needs
  8. Flexibility with working hours to accommodate the demands of the real estate business
  9. Valid driver's license and willingness to travel within Ibiza
  10. Knowledge of the Ibiza property market is a plus
  11. Discretion and confidentiality when handling sensitive information
  12. Cultural sensitivity and interpersonal skills to interact with international clients
