About the role

We are looking for a service-minded People Operations Specialist to join our People & Culture team. This role is perfect for someone with 2-4 years of experience in People Operations who is passionate about creating an exceptional workplace experience and thrives in a dynamic, people-centric environment. You will be at the heart of our culture, working closely with the Head of People & Culture and supporting a variety of organisational, business, and office initiatives that keep our people engaged and our operations running smoothly. This position is based at our Office in Seville, Spain.

Responsibilities

  • Represent the People & Culture team locally, championing Kyoto’s values and fostering a strong, inclusive workplace culture.
  • Support People & Culture initiatives, including recruitment, onboarding / offboarding, guideline and policy development, employer branding, and general HR administration - with an understanding of Spanish labor practices and workplace norms.
  • Facilitate and continuously improve the Kyoto Heartbeat process (our internal engagement framework).
  • Assist the Management team with administrative tasks.
  • Act as a community builder - creating opportunities for connections, recognition, and belonging.
  • Take an active role in planning and executing business-wide projects and initiatives (e.g., company events and team-building activities).
  • Oversee the smooth daily operations of the office.
  • Maintain stock and distribution of company merchandise.
  • Serve as a key contributor to office design and layout improvements.

Required skills & experience

  • 2-4 years of operational HR experience.
  • Strong relationship-building skills and the ability to connect across all levels of the organisation.
  • Entrepreneurial mindset - you take ownership and drive things forward independently.
  • Positive energy and a passion for building a welcoming, inclusive environment.
  • Excellent multitasking abilities - you can juggle priorities without missing a beat.
  • Structured and proactive - you like to plan, but you’re quick on your feet when things change.
  • Dependable and versatile - you’re comfortable wearing many hats and rolling up your sleeves.
  • A genuine passion for people, culture, and making work a great place to be.
  • Strong communication skills with a high proficiency in oral and written English.
