The Relationship Operations Manager plays a critical internal role in organizing investor and founder relationships, ensuring seamless communication, and optimizing our CRM systems and relationship workflows. You'll maintain meticulous records, streamline operations, and monitor relationships that drive growth across Kinship and Trolley. You see patterns and problems early, are wired to organize chaos, and love building systems that leverage people.
You understand that the heartbeat of a fund is in its relationships, and you're the one ensuring the system runs flawlessly behind the scenes.
Key Responsibilities :
CRM Management & Data Integrity :
- Oversee and manage CRM platforms (HubSpot, Trolley Maps, Substack) focusing on accuracy and system integrity.
- Implement and optimize workflows in ClickUp to track engagement with investors, founders, and partners.
- Train team members on CRM usage and best practices for consistent adoption.
- Conduct weekly CRM audits to eliminate duplicates, misclassifications, and outdated records.
- Cross-reference Mojs contacts (~800 iPhone contacts) with CRM entries to ensure alignment.
- Track engagement history with major contacts to prevent relationships from going stale.
- Generate dashboards and reports to monitor engagement metrics, relationship health, and opportunities.
Investor & Founder Relations :
- Act as the internal operational point person supporting LP, founder, and stakeholder engagement.
- Manage inquiries and communications with professionalism and clarity.
- Maintain calendars, prep meetings, follow up, and log next steps.
- Support investor relations initiatives, including decks, reports, and outreach.
- Provide proactive relationship maintenance and conduct quarterly audits to identify under-engaged contacts and strategies.
Revenue & Growth Support :
- Identify high-value relationships impacting revenue and growth.
- Track deal flow and co-investor activity to ensure progress.
- Align CRM data with marketing efforts like newsletters, gifting, and brand activations.
Operational Collaboration :
- Work with finance, legal, media, and operations teams on communication and relationship execution.
- Organize investor events, founder breakfasts, and private meetings, supporting logistics and stakeholder engagement.
- Represent the voice, tone, and intent in external communications.
- Ensure consistent communication and follow-through across teams and timelines.
Strategy & Reporting :
- Generate weekly reports by 8 PM PST on engagement, outreach, and insights.
- Recommend improvements for relationship health and strategic influence.
- Build and maintain SOPs for outreach, follow-up, events, and documentation.
Establish scalable systems for consistent, thoughtful, and timely communication at scale.
Operating Framework :
The goal is execution, mastery within 12 months. You thrive if :
- You operate in full alignment with the CEO's thinking, communicating clearly and recalibrating fast if needed.
- You extend the CEO's reach, remove tasks from their plate, and proactively manage top relationships.
- You are obsessive about details, timelines, accuracy, and follow-up.
- You communicate early and often, with daily updates by 8 PM PST.
- You are direct, warm, honest, and assume good intent.
Milestones for mastery (12 months) :
- 6 Months : Foundation : Full fluency in CRM tools, data structure, workflows; dashboards launched; relationships mapped and engaged; team onboarded.
- 12 Months : Leverage & Leadership : Build relationship management playbooks and SOPs; identify relationship gaps.
