Must be willing to overlap with U.S. hours

  • Monday - Thursday: 11am - 8pm CET
  • Friday: 11am - 3pm CET

Position Overview:

We are seeking a detail-oriented and reliable Payroll & Benefits Specialist to support our US operations from Spain. You will ensure accurate payroll and benefits processes, contributing to a positive employee experience. You will collaborate with the US People team, employees, and external vendors to support compliance, process improvement, and daily operations. Familiarity with US benefits and labor laws is a plus but not required; training will be provided for candidates with strong fundamentals and a growth mindset.

Key Responsibilities:
Payroll Administration:
  • Onboarding and offboarding employees in our HRIS
  • Process weekly multi-state payroll for 250-300 employees with 100% accuracy and timeliness
  • Reconcile payroll discrepancies, manage garnishments, and lead off-cycle payments
  • Serve as the primary liaison with payroll vendors and internal stakeholders
Benefits Administration:
  • Oversee employee benefits (health, dental, vision, 401(k), etc.), including open enrollment and renewals
  • Submit payroll contributions to third-party administrators
  • Provide clear communication on benefits-related topics
  • Support billing, vendor updates, and compliance audits (e.g., ACA, COBRA, ERISA)
Employee Support:
  • Respond to questions about payroll, benefits, and policies
  • Guide new hires through benefits enrollment and payroll setup
Data & Reporting:
  • Maintain employee records in HRIS
  • Assist with audits, reporting, and reconciliations
  • Ensure accurate data for compliance and internal reporting
Compliance & Policy:
  • Ensure compliance with wage, hour, and benefits regulations
  • Process I-9 and E-Verify for employees
  • Support internal controls, documentation, and process improvements
  • Assist the legal team with information requests
  • Complete special projects as assigned
Qualifications:
  • 3+ years in payroll and/or benefits administration, ideally multi-state
  • Familiarity with payroll systems (e.g., Gusto, ADP, Paylocity) and benefits platforms
  • Strong attention to detail and discretion with sensitive information
  • Excellent communication and problem-solving skills in English
  • Knowledge of wage and hour laws, benefits compliance
  • Ability to work in a fast-paced, collaborative environment
  • HR certification or coursework (a plus, not required)
  • Open to working across U.S. time zones
