Hours: Must be willing to overlap with U.S. hours

  • Monday - Thursday: 11am - 8pm CET
  • Fridays: 11am - 3pm CET

Position Overview:

We are looking for a detail-oriented and highly reliable Payroll & Benefits Specialist to support our growing US operations from Spain. You will play a critical role in ensuring payroll and benefits processes are executed accurately and efficiently, contributing to a positive employee experience. You’ll work closely with the US People team, employees, and external vendors to support compliance, process improvement, and daily operations. This is an excellent opportunity for someone with a strong payroll foundation, a passion for people operations, and a growth mindset. Familiarity with US benefits and labor laws is a plus but not required; training will be provided.

Key Responsibilities:
  • Payroll Administration: Onboarding and offboarding employees in our HRIS, processing weekly multi-state payroll for 250-300 employees with 100% accuracy, reconciling discrepancies, managing garnishments, and leading off-cycle payments. Serve as the primary liaison with payroll vendors and internal stakeholders.
  • Benefits Administration: Oversee employee benefits (health, dental, vision, 401(k), etc.), including open enrollment and renewals. Submit payroll contributions to third-party administrators, communicate benefits-related topics clearly and timely, support billing, vendor updates, and compliance audits.
  • Employee Support: Respond to questions about payroll, benefits, time off, and policies. Guide new hires through benefits enrollment and payroll setup. Escalate complex issues as needed.
  • Data & Reporting: Maintain employee records, assist with audits, reporting, and reconciliations related to payroll and benefits, ensuring data accuracy for compliance and internal reporting.
  • Compliance & Policy: Ensure adherence to wage, hour, and benefits regulations. Process I-9 and E-Verify, support internal controls, documentation, process improvements, and assist our legal team with information requests. Complete special projects as assigned.
Qualifications:
  • 3+ years experience in payroll and/or benefits administration, preferably in a multi-state environment
  • Familiarity with payroll systems (e.g., Gusto, ADP, Paylocity) and benefits platforms
  • Strong attention to detail and ability to handle sensitive information discreetly
  • Excellent communication skills in English and problem-solving abilities
  • Knowledge of wage and hour laws, benefits compliance, and best practices
  • Ability to thrive in a fast-paced, collaborative environment
  • HR certification or coursework (a plus, not required)
  • Open to working across U.S. time zones
