Job Summary
We are seeking a meticulous and proactive Order Specialist to join our team in Oviedo and support our software distribution activities in Spain and Portugal, with a strong focus on managing academic tenders and public procurement. This is an on-site position, essential to ensuring that software license orders are processed accurately, compliantly, and on time — especially for universities and public institutions.
Key Responsibilities
- Manage the full lifecycle of academic tenders, including documentation, eligibility checks, and compliance with public procurement procedures in Spain and Portugal.
- Prepare and validate ESPD / DEUC forms, tax certificates, quotations, and customer-specific documents.
- Process new orders, renewals, and amendments based on contract terms and procurement requirements.
- Ensure accuracy in documentation and internal records throughout the order-to-cash process.
- Serve as the main administrative contact for universities and public institutions.
- Collaborate with internal teams to support bids, contract execution, and invoicing.
- Track order status, delivery timelines, and invoicing progress.
- Maintain accurate reporting related to academic opportunities, tenders, and renewals.
Requirements
- Experience in order processing, public procurement, or sales operations, ideally involving academic or public sector clients.
- Strong organizational skills and attention to detail.
- Good communication skills, both written and verbal.
- Knowledge of public procurement processes, particularly in Spain and / or Portugal (e.g., ESPD / DEUC).
- Fluency in Spanish and English; Portuguese is a strong plus; Italian and Arabic are also an advantage.
- Familiarity with Salesforce CRM and Sage invoicing software is a plus.
- Full-time presence required at the office in Oviedo, Spain.
- Bachelor’s degree is advisable but not required.

- Experience working with universities, research institutions, or software vendors.
- Knowledge of academic software licensing models.
- Experience with public e-invoicing platforms (e.g., FACe, e-fatura).
