A leading global insurance company seeks an Operations Administrative Assistant in Spain. The role involves data management, coordination with Underwriters, and ensuring compliance with internal processes. Ideal candidates will have at least one year of relevant experience, and fluency in Spanish and English is essential.

Formación

  • 1 year relevant experience at an insurance company or broking house.
  • Fluent in Spanish and English; Portuguese or Italian would be a plus.

Responsabilidades

  • Enter risk and policy data into the Operation system within defined Service Level Agreements.
  • Work with the Operations team and Underwriters on continuous basis to review key underwriting controls.
  • Assist with credit control and manage important cash accounts.

Roles and Responsibilities

  • Enter risk and policy data in to the Operation system(s) within the defined Service Level Agreements;
  • Provide feedback and follow up branch requests with IT team in order to accomplish needs;
  • Work with the Operations team, Active Underwriter, Underwriting teams, and IT on a continuous basis to review and monitor key underwriting controls including UW ones (PBQA), production;
  • Enter schedule data and quotations accurately into the system in an accurate and timely manner following internal timings;
  • Log all bound, quoted, working and declined risks into the business log immediately in a timely manner before close periods;
  • Ensure TAXES are correctly declared and processed internally. Review signings to avoid mismatching which cause differences in PRM allocations;
  • Manage TOBA and compliance procedures with new brokers requests coordinating with Underwriters following the process and filling;
  • Issue policies, endorsements or certificates, of bound business, and coordinate with Underwriters to ensure these are sent to our partners accordingly;
  • In collaboration with the Underwriter(s), ensure that Underwriting files are complete and accurate;
  • Ensure all risk and policy queries are communicated through the appropriate channels and responded to in a timely manner;
  • Control manage and follow up RI front and Outwards premiums and accounts in order to ensure a good service and efficiency;
  • Participate, understand and assist in the implementation and improvement of the Underwriting Process of the branch and follow up processes and internal rules and controls as established;
  • Start, control and follow up TOBA signing process between the company and brokers ensuring systems are updated and records include signed documentation;
  • Manage the issuance of monthly statement to the brokers and coordinate with the business regarding outstanding premiums. Save all statements, bordereaus and closings per client in daily basis;
  • Assist with credit control and provide support to the credit control team with aged debt and excess cash queries when required as well as data reporting;
  • Manage important cash accounts before they fall into AGE DEBT in order to avoid amounts impact and get the premiums duly paid as early payments.

Experience

  • 1 year relevant experience at an insurance company or broking house.

Skills

  • Analytical and problem solving skills;
  • Fluent in Spanish and English, Portuguese or Italian would be a plus;
  • Excellent written and verbal communication skills.

Systems & IT

  • MS Office – Excel, Word and Outlook;
  • Proficient computer skills, ability to understand new systems.
