We are Haufe and we are looking for an Office Manager to join our Operations team in Barcelona (HI! ️️️️). This role will be the real Team Support, ensuring the smooth operation of the office and that all employees feel comfortable working from home.

What will you be doing?
  • Office Operations: Ensure the Barcelona office runs smoothly and maintains an inspiring atmosphere. Manage office facilities, coordinate with IT, and support HR admin tasks.
  • Onboardings: Manage access cards, equipment inventory, and support relocation logistics.
  • Office Vendors: Purchase supplies, coordinate services like physiotherapy, catering, and kitchen supplies.
  • Health & Safety: Meet safety requirements, organize emergency teams and medical check-ups.
  • Visitors: Coordinate building access for employees and visitors.
  • IT Support: Support the IT team with office IT stock and issues.
  • Team Events: Organize office events and team-building activities.
  • Travel Support: Assist employees with travel arrangements and confirmations.
  • Work From Home Support: Help employees set up their home offices.
  • Finance Support: Follow up on invoices and manage supplier data.
What are we looking for?
  • Excellent communication skills in English and Spanish.
  • Team player, confident, outgoing, and comfortable with software like Excel.
  • Highly organized, detail-oriented, and service-minded.
  • Experience in office management or similar roles in international environments.
  • Enthusiastic, motivated, and positive attitude.
