Thanks to our growth, we are looking for an Office Manager, who will be the central point of support for the Madrid office, overseeing a wide range of administrative and operational duties. As a key member of our team, you’ll be responsible for ensuring smooth office operations, supporting leadership and various departments, and managing essential day-to-day activities including supplier coordination, maintenance, office services, and more. Your leadership and organizational skills will be crucial in ensuring the efficient functioning of our business on both a commercial and operational level.

Main Responsibilities

  • Oversee office management duties, including office supply purchasing, equipment maintenance, and managing insurance policies
  • Assist the executive team with reporting, preparation of presentations, and sales reviews
  • Handle reception duties and provide exceptional client service in a professional, welcoming manner
  • Support the HR department with employee onboarding, payroll processing, training coordination, attendance tracking, and managing staff emergencies
  • Serve as the main point of contact for external suppliers and clients, ensuring high-level service and professional relationships
  • Support overseeing accounting-related tasks, including invoicing, financial management, and budget tracking for the office
  • Manage and maintain the archiving process for critical business documentation, such as contracts, legal documents, and property details
  • Take ownership of the CRM system (Salesforce), ensuring accurate data management across accounts, properties, and deals, as well as providing general IT support
  • Support the commercial and legal teams with tasks related to due diligence, claims, and legal reporting

Requirements

  • Experience in an office management role within an international company (minimum 3 years), preferably in a senior or executive support capacity
  • Fluency in English and Spanish; additional languages are a plus
  • Exceptional customer service skills with a polished telephone manner
  • Advanced IT proficiency, including Microsoft Office , CRM systems (Salesforce experience is a plus)
  • Proactive, resourceful, and adaptable with a "can-do" attitude, excellent problem-solving abilities , and strong leadership skills
  • Highly organized with a keen focus on improving efficiency and optimizing office operations
  • Ability to work independently while managing competing priorities and making key decisions with minimal supervision
  • Strong interpersonal skills, with the ability to interact professionally with senior leadership, internal teams, external clients, and suppliers
  • Comfortable in a fast-paced, dynamic work environment
