Company Overview:

We are a new and innovative CTV OS challenging the status quo by working with a market leading OEM to provide content discovery for streaming platforms, as well as integrating FAST channels alongside traditional broadcast TV channels. We are gearing up for rapid expansion across European markets.

Job Description:

As a Office Assistant, you will be responsible for ensuring the smooth operation of our offices, being the first point of contact for visitors and employees, ensuring a welcoming and professional office environment, and implementing efficient processes to enhance workplace productivity. You will also support day-to-day office operations and assist with administrative tasks as needed.

Key Responsibilities:

Front Desk & Office Support

  • Greet and assist visitors, ensuring a warm and professional welcome.
  • Handle incoming and outgoing mail, deliveries, and courier services.
  • Maintain the reception area and meeting rooms in a tidy and organized manner.
  • Ensure compliance with local regulations and workplace safety requirements.


Administrative Assistance

  • Serve as the main point of contact for office-related inquiries and requests from employees.
  • Supply management (ordering stationery, kitchen supplies, etc.).
  • Assist with scheduling meetings, booking travel, and other coordination tasks.
  • Manage office leases, contracts, and relationships with vendors and service providers.
  • Budget management for events, office supplies, office/construction works, etc.
  • Travel cost/budget management


Employee Experience & Culture

  • Create a welcoming and productive work environment that aligns with our company culture.
  • Support onboarding by ensuring new hires have the necessary equipment, workspace, and resources.
  • Organize company events, team-building activities, and celebrations to foster engagement and collaboration.
  • Oversee service agreements with third-party providers, including cleaning, security, and maintenance.


Qualifications

  • Experience: 3+ years in office management, administration, or operations, preferably in a fast-growing company with multiple legal entities.
  • Skills: Strong organizational and multitasking abilities, excellent communication skills, and attention to detail.
  • Tech-Savvy: Comfortable working with office management software and collaboration tools (e.g., Google Workspace, Slack, Notion, etc.).
  • Problem-Solving: Ability to proactively identify and address workplace challenges.
  • Languages: Fluency in English; additional languages are a plus.
