Office & Travel Manager

Be the Heartbeat of Our Operations

  • Location: Sardinia or Local Office (Spain)
  • Reports to: Director of Operations

We’re looking for an organised, detail-oriented, and resourceful Travel Planner & Office Manager to join our dynamic team. This is a hybrid role where you’ll manage both travel logistics and office operations, keeping everything running smoothly while providing top-notch support to the team.

Key Responsibilities – Travel Planning

  • Manage all travel bookings — including flights, hotels, transportation, and related activities.
  • Research and recommend hotels, restaurants, cafes, and local experiences, ensuring they meet the highest standards.
  • Negotiate with tour guides, hotels, restaurants, and transportation providers to secure the best rates and terms.
  • Build and maintain relationships with travel vendors and partners to maximise value and ensure smooth execution of travel plans.
  • Handle last-minute changes and troubleshoot issues to minimise disruption to travel schedules.
  • Ensure all travel plans align with company policies and budget guidelines.
  • Provide detailed travel itineraries and support team members with visa applications, travel insurance, and other requirements.

Key Responsibilities – Office Management

  • Oversee the day-to-day operations of the office to ensure a productive and positive work environment.
  • Act as the main point of contact for office-related issues, coordinating with vendors and service providers.
  • Manage office supplies and inventory, ensuring the team has what they need to succeed.
  • Support with the coordination of company events, meetings, and off-sites to ensure they run smoothly and align with company culture.
  • Maintain accurate records of expenses, contracts, and key operational data.
  • Ensure effective communication and coordination between departments to keep operations streamlined.
  • Handle administrative tasks such as invoicing, filing, scheduling, and supporting the executive team with day-to-day needs.

What We’re Looking For:

  • 2+ years of experience in travel planning, office management, or a related role.
  • Strong organisational and multitasking skills, you can juggle multiple projects without dropping the ball.
  • Excellent negotiation skills, you know how to get the best deals from vendors.
  • Exceptional communication skills, you’re professional, approachable, and clear.
  • Strong problem-solving ability, you stay calm under pressure and find solutions fast.
  • Comfortable with technology and office tools (e.g., Microsoft Office, Google Suite, and booking platforms).
  • Experience working with international travel logistics and understanding visa requirements is a plus.
  • Proactive mindset, you anticipate issues before they arise and stay one step ahead.
  • Ability to work independently while also collaborating with a broader team.
