WE’RE HIRING | OFFICE ADMINISTRATOR / SECRETARY (MARBELLA, SPAIN)

Full-time · 09:00–17:00 · Primarily office-based with occasional remote flexibility

THE ROLE

We are looking for an organised and reliableOffice Administrator / Secretaryto join our growing team in Marbella. This is a varied role that requires excellent attention to detail, strong communication skills, and the ability to support a busy professional office environment.

You’ll be responsible for day-to-day administrative operations, managing documents and scheduling, assisting with client communications, and keeping everything running smoothly behind the scenes. Some evening flexibility is occasionally required for company events.

KEY RESPONSIBILITIES

• Answering phones, managing email correspondence, and greeting visitors

• Scheduling meetings, preparing agendas, and taking minutes

• Drafting and formatting letters, reports, and internal documents

• Maintaining digital and physical filing systems

• Coordinating office supplies, deliveries, and logistics

• Supporting team members with admin tasks and record-keeping

• Liaising with external service providers and clients

• General office organisation and calendar management

REQUIREMENTS

3+ years' experiencein a secretarial or administrative role

Native-level Englishis essential;Spanishhighly preferred;Portugueseis a bonus

• Professional communication, time management, and multitasking skills

• Proficiency with Microsoft Office / Google Workspace

• Confident using business software and comfortable learning new systems

• Ideally degree-educated, or equivalent proven work-based experience

• Must have ownlaptopand be comfortable with occasional remote working

• Must be legally entitled to work in Spain and based in or nearMarbella
